Administrative Assistant

The Administrative Assistant is responsible for supporting the team in their efforts to properly execute the activities of the Company while maintaining a professional, orderly, and efficient office environment.

Primary Responsibilities

  • Answer phones, sort mail, handle office packages.
  • Record Purchase Orders and receipt of goods and match to vendor invoices.
  • Vendor invoice coding.
  • Match receipts to credit card transactions and record proper coding.
  • Onboarding new hires.
  • Annual benefit open enrollment paperwork coordination.
  • Time sheet review and vacation / PTO reconciling.
  • Prepare certified payrolls for prevailing wage projects.
  • Vehicle registrations / tags.
  • Other administrative duties.
  • Maintains strict confidentiality of all privileged information.
  • Other duties as assigned.

Knowledge and Skill Requirements

  • 4+ years of experience in similar role
  • Proficient with Excel, Word, Outlook, Office 365, and SharePoint Online
  • Experience using a Enterprise Resource Planning accounting system like Microsoft Dynamics SL and Business Central and an HR / Payroll software like ADP
  • Work requires professional written and verbal communication and interpersonal skills.
  • Experience in Construction or Oilfield Services preferred.
