We are looking for a detail-oriented and proactive Administrative Assistant to support our team and contribute to our ongoing success.
The Administrative Assistant will play a crucial role in ensuring the smooth operation of our office. This individual will provide administrative support to the team, manage day-to-day office activities, and assist in various projects and tasks.
The ideal candidate is highly organized, possesses excellent communication skills, and can handle multiple tasks efficiently in a fast-paced environment.
This is NOT a remote position must work in office.
Administrative Assistant Job Responsibilities :
- Provide comprehensive administrative support to the executive team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Handle incoming communications, such as phone calls, emails, and mail, and direct them to the appropriate team members.
- Prepare and edit documents, reports, and presentations with a high level of accuracy and attention to detail.
- Organize and maintain office files, records, and databases, ensuring they are up-to-date and easily accessible.
- Assist in the planning and execution of company events, meetings, and other functions.
- Manage office supplies inventory and place orders as needed to ensure the office is well-stocked and operational.
- Coordinate with vendors, clients, and external partners to facilitate smooth office operations.
- Support the marketing team with project management tasks, including tracking deadlines, organizing materials, and ensuring timely completion of projects.
- Assist with basic bookkeeping tasks, such as processing invoices and expense reports.
- Contribute to a positive and efficient work environment by taking initiative and offering solutions to improve office processes.
Administrative Assistant Qualifications / Skills :
- High school diploma or equivalent; an associate or bachelor's degree in business administration or a related field is preferred.
- Proven experience as an administrative assistant or in a similar role, preferably in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
- Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills.
- Ability to work independently as well as part of a team.
- Attention to detail and problem-solving skills.
- Flexibility and adaptability to changing priorities and workloads.
