Department Summary

In collaboration with the Undergraduate Vice-Chair, Academic Administrator, and as a member of the Student Services team reporting to the Manager of Student Services, manage all aspects of undergraduate operations and serve as undergraduate advisor for the Department of Mathematics and Program in Computing.

Develop policies pertaining to undergraduate student affairs, monitor student compliance with those policies, and advise Vice-Chair, Academic Administrator and faculty on policies and procedures.

Advise prospective and enrolled students (2,000+) regarding mathematics requirements and degrees (7 majors, 2 minors, 1 specializations), status of AP Calculus credit (and / or other college bearing credit), math diagnostic testing and special programs (Math Education, REU, Scholar / Honors, summer programs), and provide career and graduate program guidance.

Monitor academic progress and counsel students with academic difficulties, make decisions / recommendations on student petitions, assess course equivalences and advise on major / career objectives.

Coordinate and supervise Math Diagnostic Testing for entering and transfer students (between 4,000-5,000 tests). Collect, synthesize and analyze data including enrollment trends, grades, and GPAs.

Supervise distribution, scanning, and typing of quarterly TA and faculty evaluations. Organize and present department orientations, and participate in College information sessions and orientation programs for incoming students.

Manage student enrollment for mathematics and programming in computing courses and resolve individual issues in regards to student enrollment.

Organize and manage department's annual Commencement and related activities. Advise mathematics student groups and represent the department at various events held by these groups.

Collaborate with CAO and Communications Coordinator in organizing on and off-site multiple career information sessions, award ceremonies and alumni events.

Back-up for course scheduling.

Salary & Compensation

UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations.

Qualifications

  • 1. Demonstrated knowledge of undergraduate student affairs in a university setting with experience counseling students on complex academic regulations, policies and procedures. (Required)
  • 2. Experience in accurately communicating and providing advice in person, by phone and in writing to prospective and enrolled students regarding undergraduate degree requirements for majors, minors and specializations. (Required)
  • 3. Ability to counsel and provide advice regarding mathematics requirements and degrees, AP Calculus credit, petitions, academic progress and special programs (i.

e. Math Education, REU, Scholar / Honors). (Required)

  • 4. Ability to coordinate and supervise Math Diagnostic Testing for entering and transfer students, with skill in advising students on appropriate level of enrollment. (Required)
  • 5. Skill in analyzing academic records and assessing student progress. (Required)
  • 6. Excellent interpersonal and customer service skills to effectively interact with patience, respect, and diplomacy toward individuals of various socioeconomic, ethnic and cultural backgrounds including faculty, students, alumni, parents, staff. (Required)
  • 7. Demonstrated presentation skills to conduct orientation and information sessions to small and large groups of people in an organized, comprehensive manner, including information about courses, curricula, campus life, and career options. (Required)
  • 8. Demonstrated skill in problem-solving and issue resolution required. Ability to diffuse anxious situations and parties involved.

Ability to remain calm in stressful situations where students and / or faculty are distressed. (Required)

9. Excellent oral and written communication skills to collect and relate information with diplomacy, accuracy and discretion required.

Skill in maintaining confidentiality. (Required)

  • 10. Excellent computer and data management skills with experience in Windows, UNIX, web based and mainframe applications, including Firefox / Explorer, Thunderbird, FTP, Word, Excel, Access, Dreamweaver, Publisher, Adobe Acrobat, OASIS (SIS / SRS), Counselor (Required)
  • 11. Bachelor's degree in mathematics or other scientific discipline preferred, or equivalent experience / training. (Preferred)
  • 12. Ability to work some evenings and weekends, including commencement weekend. (Required)
