We are currently seeking an organized and proactive Admin / Receptionist to join our team. The Office Admin will play a critical role in managing office communications, customer service, and supporting the operational team.
The ideal candidate will handle a variety of tasks, including managing phone calls, updating systems, performing data entry, coordinating oil deliveries, processing service tickets, and providing administrative support to ensure smooth daily operations.
Schedule : Monday-Friday 8am-4 : 30pm

Key Responsibilities :
- Answer and direct incoming phone calls in a professional and friendly manner.
- Update and maintain company databases and systems with accurate information, including customer details, delivery schedules, and service records.
- Coordinate and schedule fuel and oil deliveries in collaboration with the operations team.
- Process service tickets for customer requests, ensuring all information is entered correctly into the system.
- Perform data entry tasks, ensuring accuracy and timeliness.
- Manage customer inquiries and assist in resolving any issues related to deliveries, invoices, or services.
- Maintain and organize filing systems for service tickets, delivery logs, and other administrative documents.
- Assist with general office duties, including ordering supplies, handling mail, and supporting other departments as needed.
- Communicate with drivers and field technicians to ensure efficient scheduling and service.
Qualifications :
- High school diploma or Equivalent
- Must Be Bilingual
- Previous experience in an administrative or receptionist role
- Strong organizational skills with attention to detail.
- Proficient in Microsoft Office (Word, Excel, Outlook) and experience with CRM or other database systems.
- Excellent communication and customer service skills.
- Ability to multitask and work efficiently in a fast-paced environment.
