Summary Description
Assists Relationship Managers by managing administrative duties such as typing, filing, and scheduling, as well as coordinating meetings, preparing documents and reports, communicating frequently with Relationship Managers and clients, obtaining supplies, and handling project management tasks.
Specifically, provides administrative support and coordination to facilitate account management of City's SWAP accounts.
Also aids in addressing general inquiries and compiling highly confidential information. Strategically plans, prioritizes, and organizes a varied workload, and suggests improvements to office practices and procedures when necessary.
Essential Functions
- Administrator for all PNC SWAP transactions as well as any other 3rd party intermediaries
- Establish, maintain and monitor escrow accounts for each customer as needed
- Monitors and reconciles SWAP billing for each SWAP customer as needed
- Answers all customer inquiries regarding SWAP payments
- Establish and maintain rental / lease accounts for each SWAP customer
- Monitor Relationship Managers' schedules to ensure smooth customer service delivery when they are unavailable
- Assist with the daily maintenance and monitoring functions of the commercial loan portfolio
- Assists Relationship Managers with requests for documentation, both financial and non-financial, and upload and update tracking of such documentation
- Assists Relationship Managers with responses to customers or outside vendors by phone or e-mail which may include working with other departments within the bank
- Assists Relationship Managers in the lending documentation process from pre-closing, closing, and booking by coordinating with various bank departments and reviewing the documents to assure accuracy
- Maintains, updates, and submits reports of loan activity requested by Executive Management
- Assists Relationship Managers in general correspondence, memos. and letters as requested
Position Requirements
- High School Diploma or equivalent
- Minimum of 2 years administrative experience (preferably in commercial banking) and has general knowledge of commercial loan collateralization and basic banking transactions
- Work is generally performed indoors in environmentally controlled conditions
- Typically the employee may sit to perform the work. However, there may be some standing, walking, bending and carrying of light items in the course of the work

Critical Skills / Expertise
- Ability to relate well to others and have excellent written and oral communication skills
- Possess the ability to use standard office equipment such as a computer, copier and printer
- Possess a working knowledge of Excel, Word, Microsoft Outlook and the aptitude to learn the various bank software systems
- Must have high level of interpersonal skills to handle sensitive and confidential situations and information
- Position requires a certain level of analytical ability to be proactive in identifying and resolving various administrative issues
- Work requires continual attention to detail in composing and proofing materials, establishing priorities and meeting deadlines
- Position continually requires demonstrated poise, tact and diplomacy
- Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work
