Executive Assistant to Client Service Team

About the Job :

  • Manage scheduling, travel and daily calendaring needs; ensuring changes are accurate, timely and most productive for maximum efficiencies.
  • Coordinate travel booking needs for multiple partners, domestically and internationally.
  • Provide meeting materials, including PowerPoint decks, take active meeting notes and provide summaries and follow-up deliverables.
  • Conduct research based on client portfolios, providing clear and concise reporting documents on findings using Salesforce.
  • Finalize expense reports, financial tracking spreadsheets and contracts / billing documentation; follow through with internal and external communication surrounding invoicing needs.
  • Using a strong understanding of financial forecasting and budgeting, analyze current client portfolios. Run reporting metrics, read data and financial reporting to evaluate effectiveness of business objectives.

Identify ways of improvement and be an active player in the leadership team’s goals.

  • Organize information, client details and necessary documentation accurately and quickly in Salesforce.
  • Assist with daily operational functions and be an extended hand to the greater administrative support team.

About You :

  • Strategic thought-partner. You have at least three years of administrative support to a busy, client-centered team of leaders.

  • Strength in technical duties. You are efficient working across MS Office and Google products; previous experience working in Salesforce is preferred.

  • Numbers driven. You enjoy working with numbers and have an eye for detail.
