Looking for an energetic, administrative professional with strong interpersonal and organizational skills to greet and direct visitors either by phone or when entering the office.
Responsibilities :
- With a warm and friendly, positive attitude, greet clients, guests and candidates; serve as the refreshing first impression of the organization.
- Manage the reception area with professionalism and attention to detail; ensure the area is well maintained at all times.
- Ensure guests are entered into building security logs and are announced to the person they are visiting when they arrive.
- Answer incoming calls with professionalism and poise and take accurate and detailed messages or direct calls accordingly.
- Maintain daily sign-in logs for all guests / employees.
- Update internal phone contact list on a regular basis.
- Perform basic filing and record keeping.
- Take memos, handles correspondences, or other documents.
- Manage and coordinate the interview and visitor conference rooms efficiently; well versed with Microsoft Outlook
- Maintain / record all deliveries / outgoing messenger services i.e. FedEx, UPS, etc.
- Assist guests with office tours.
- Assist with Meetings / Events room setups as needed.
- Coordinate food catering for internal meetings and events as necessary.
Qualifications :
- Great personality that makes guests / clients feel welcome and calms the nerves of interviewees
- Strong English communication skills
- 1+ years of experience in a relevant position.
- Experience in a client facing position is a plus.
- White glove customer service driven mentality.
- Possess working knowledge of phone switchboards and general office technology.
- Proficient in typing and the Microsoft Office Suite (primarily Word / Outlook).
- Ability to multi-task, adapt to change quickly, operate efficiently and desire to learn.
- Strong professional demeanor.
- Effective written and verbal communication skills.
Pay : $20.00 - $20.50 per hour
