WHAT YOU'LL DO

The Executive Assistant supports the Chief Executive Officer (CEO) and works closely with the management team to provide high level administrative support.

This position handles highly critical and confidential details, interfacing with internal and external stakeholders, and demonstrating considerable discretion and initiative.

The Executive Assistant supports Jewish Family Services' commitment to customer service by facilitating communication and relationship building with community partners, vendors, key stakeholders, volunteers, and internal staff.

Key Responsibilities

  • Oversees general workflow of CEO's office - i.e. maintains CEO's schedule and supports management of communication from the Executive office.
  • Performs general office duties; covering for support staff as needed and providing administrative support to the CEO and when appropriate, the Board of Directors.
  • Composes and distributes confidential correspondence, reports, check requests, expense reports, etc.
  • Manages the execution of designated meetings including agendas, scheduling, room setup & clean-up, logistics, timely distribution of materials, food purchase, etc.
  • Organizes and assists in managing Board committee structure and meetings.
  • Attends meetings and events to record and transcribe minutes as requested.
  • Assists in the management of information flow to and from the CEO.
  • Optimizes travel schedules and enables remote decision-making, helping to keep projects on task.
  • Assists with special projects as needed, which may include presentations and assisting with special events, compiling data for reports including data from charts and / or billing systems.
  • Maintains official corporate copies of all established departmental policies, procedures, board records, grants, and other projects.
  • Supports the organization of staff activities and events.
  • Participates in all agency staff committees as representative of the Executive office.
  • Manages the distribution of contracts, documents, and other materials that pass through the Executive office.
  • Manages all board related documentation.
  • Oversees the organizing and management of staff / board events including the board retreat, summer picnic, and end of year celebration.
  • Works with Executive Leadership to support the development of the CEO's report to the Board of Directors.

WHAT YOU'LL BRING

  • Bachelor's degree, preferably in a related field.
  • Three (3) years' experience in an Executive Assistant / Administrative role for a senior-level manager or equivalent.
  • Knowledge / experience in Board Governance preferred.
  • Highly proficient in Word, Excel, Power Point and Access; strong internet and database management skills.
  • Knowledge of efficient office processes, procedures, and recordkeeping practices.
  • Possess solid written and verbal skills along with oral and written communication, math reasoning and analysis skills.
  • Ability to travel outside the office to various sites to attend meetings or conduct other business of the agency.
  • Ability to perform duties with a minimum of supervision and handle multiple requests.
  • Ability to work flexible hours to meet the demands of the job.
  • Ability to maintain confidentiality.

This position requires travel between sites and therefore, you must have a reliable vehicle, valid driver's license, and liability insurance in the amount of $100 / $300K.

Also, if hired, you must produce evidence of having received the Covid-19 vaccination.

WHAT WE OFFER

  • Competitive salary range of $22.00 to $35.00 per hour, commensurate with experience and qualifications.
  • Benefits such as health insurance (Independent Health), accrued Paid Time Off (PTO) of 4+ weeks, 401k retirement plan with company match, and 13+ observed holidays.

The above pay range is a good faith estimate for the position at the time of posting. Final compensation may vary based on factors including, but not limited to, background, knowledge, skills, and abilities.
