The Position
The Lead Facilities Specialist is primarily responsible for leading the coordination of the office’s facilities maintenance, fostering a productive and comfortable environment for the firm’s personnel, clients, and guests.
This individual works directly with building management and other outside vendors to schedule and facilitate office moves, repairs, and renovations;
prepares offices or workstations for new / visiting personnel; ensures housekeeping tasks have been properly completed; maintains and tracks various office supplies inventory.
Other duties may include back-up support and / or coordinating services in the areas of hospitality, reception, mail, copy and fax.
What You’ll Do
- Oversee and maintain all office facilities and furnishings.
- Handle day-to-day repairs to furniture and equipment.
- Work directly with vendors to supervise installation and complete repairs of equipment and furniture.
- Coordinate facilities issues with the building management company as needed.
- Work closely with building maintenance to coordinate building repairs.
- Coordinate with cleaning crew to ensure service meets the Firm’s expectations.
- Work closely with building security command center for any security related issues.
- Coordinate office planning duties, addressing workspace area standards and ergonomic issues. Coordinate office moves.
- Participate in the preparation of bid packages and purchase orders and the awarding of contracts.
- Use on-line system to maintain inventory of supplies.
- As needed, negotiate preferred pricing with vendors and travel locally to retail stores to make purchases.
- Oversee completion of office maintenance and housekeeping tasks, coordinate conference room set-ups and maintenance (stock supplies, configure furniture, etc).
- Assist with preparing of local office events.
- Sort and distribute incoming mail, package, and faxes to the appropriate recipients within the firm.
- Collect and process outgoing mail, ensuring accurate postage and proper handling.
- Operate all copy center equipment including copiers, lamination machine, cutters and other print production equipment.
- Provide copy services for employees.
- Maintain timely production schedule to ensure all printing and copying deadlines are met.
What We’re Looking For :
- Computer skills : MS Office, Word, and Outlook
- Good communication skills
- Must be able to lift up to 50 pounds
- Must be willing / able to move furniture
- Preferred basic handyman skills

A variety of factors are considered in making compensation decisions, including but not limited to experience, education, licensure and / or certifications, geographic location, market demands, other business and organizational needs, and other factors permitted by law.
The expected salary range for this position is $45,000 to $50,000. Final salary wages offered may be outside of this range based on other reasons and individual circumstances.
This position is considered full-time and therefore qualifies for benefits including 401(k) retirement savings plan, medical, dental, vision, disability, and life insurance.
