What You'll Be Working On

As our HQ office manager, you will be the operational glue of the team, managing everything from general upkeep and cleanliness of the office to shipping coordination, event planning, cross-functional administrative projects and more.

Reporting to our Head of Strategic Programs & Operations, this role provides a variety of growth opportunities across the lines of our business.

This role will be 100% in person, based in the companyʼs headquarters in San Carlos, CA. This is a full-time, salaried position, with a potential pay range of $64,000 - $78,000 / year.

Responsibilities

  • Manage vendors and work with internal teams to keep our office space clean, organized, and stocked with appropriate amenities to create a focused and productive physical work environment
  • Facilitate timely resolution of property issues & repairs, and monitor general maintenance as the primary point of contact with the building property manager
  • Manage BrewBirdʼs food & beverage program, including ordering Wednesday team lunches and keeping the kitchen stocked
  • Institute and manage a shipping and receiving process for HQ, being hands-on with mail center drop offs and internal employee distribution
  • Greet guests at the door, inclusive of but not limited to interview candidates, potential investors, friends and family of, etc.
  • Plan and coordinate company events end-to-end, from summer offsites to tech talks, ensuring seamless logistical and on-the-ground execution
  • Assist with new employee onboarding, creating a welcoming environment on their first day and beyond
  • Manage new and existing office inventory (laptops, keys, mouses, swag, etc), coordinating with IT service to ensure timely bring up for new hires
  • Clean, prep and stock the demo area on a regular basis
  • Assist with timely submission of receipts across internal team and compliance in our spend management tool

Desired Qualifications

  • Ideally 3 years of office management and / or administrative experience; however, we are open to many different backgrounds, and highly value the following characteristics
  • Timely and effective communicator; adept at written and verbal communications to small and large audiences
  • Action-oriented; if you see something that needs to get done, youʼre hands on the next moment
  • Organized and detail oriented; you make sure no detail falls through the cracks, and are comfortable working within timelines and budgets
  • Familiar with Microsoft 360 and Slack (or other similar tools)
  • Brings a can-do attitude and consistently optimistic perspective to the team
