The Intake Specialist at Carelinks ABA is the first point of contact for families seeking ABA services.
This role is responsible for guiding families through the initial intake process with professionalism, compassion, and efficiency.
The Intake Specialist ensures that all required documentation is collected, insurance is verified, and clients are scheduled for assessments in a timely manner.
They play a key role in creating a smooth, supportive onboarding experience for new clients and families. Key Responsibilities Respond promptly to inquiries from prospective clients via phone, email, and referral portals. Provide families with clear, accurate information about Carelinks ABA services, eligibility requirements, and the intake process. Collect and review necessary intake documentation (insurance cards, diagnostic reports, consent forms, etc.). Conduct initial intake calls to gather relevant clinical, demographic, and insurance information. Verify insurance eligibility and obtain authorizations for assessments and treatment as needed. Monitor and follow up on pending documentation or incomplete intake files to ensure timely progression. Communicate status updates to families and internal stakeholders throughout the intake process. Support quality assurance by ensuring all intake procedures meet compliance and company standards. Participate in weekly team meetings and contribute to process improvement initiatives. The employee may be required to perform other related duties as needed to meet the ongoing needs of the organization. Qualifications High school diploma or equivalent required; associate or bachelor's degree in healthcare administration, Psychology, or related field preferred. 2+ years of experience in intake, admissions, healthcare scheduling, or client services. Knowledge of ABA therapy, behavioral health services, or medical insurance preferred. Excellent verbal and written communication skills. Strong organizational skills and attention to detail. Ability to multitask and manage multiple client files simultaneously. Experience with EHR systems (e.g., CentralReach) is a plus. Bilingual (English / Spanish or other) a plus.
