The Insurance Agency Office Manager will play a crucial role in overseeing the daily operations of our commercial insurance agency.
This position requires strong leadership skills, in-depth knowledge of insurance processes, and expertise in agency management systems, particularly AMS 360.
The Office Manager will be responsible for ensuring smooth administrative operations, managing staff, and handling agency accounting functions.
Key Responsibilities :
- Office Management : Oversee the day-to-day operations of the agency, ensuring a productive, organized, and efficient work environment.
- Agency Management System (AMS 360) : Manage the use of AMS 360 across the agency, ensuring accurate data entry, reporting, and system optimization to support commercial insurance operations.
- Accounting : Handle all agency accounting tasks, including premium payments, reconciliation, invoicing, and maintaining accurate financial records.
Ensure compliance with regulatory and industry standards.
- Staff Supervision : Lead, mentor, and manage office staff, providing training on AMS 360, workflow processes, and best practices for handling commercial insurance accounts.
- Client Support : Work closely with producers and account managers to provide superior customer service to commercial clients.
Assist in resolving complex issues related to policy processing, billing, and endorsements.
- Process Improvement : Identify opportunities for improving office processes and workflows, implementing new systems and procedures as needed.
- Compliance & Reporting : Ensure compliance with industry regulations and maintain necessary documentation. Generate and analyze reports to track agency performance and support decision-making.
Qualifications :
- Experience : Minimum of 3-5 years of experience in an office management role within an insurance agency, preferably focused on commercial insurance.
- Agency Management System (AMS 360) : Proficient in AMS 360, with the ability to manage, troubleshoot, and train staff on the system.
- Accounting Skills : Strong understanding of agency accounting principles, including experience with premium reconciliation, financial reporting, and invoicing.
- Leadership : Proven ability to manage and mentor a team, with excellent communication and organizational skills.
- Insurance Knowledge : Comprehensive understanding of commercial insurance products, policies, and workflows.
- Technology : Proficient in Microsoft Office (Excel, Word, Outlook) and other office management tools.
Preferred Skills :
- Experience with other insurance software platforms.
- Experience in handling large commercial accounts.
- Ability to work independently and multitask in a fast-paced environment.
