Salary : Starting at $50,000 / year + housing discount + bonus eligibility + benefits + 401K matching

The Contract Administrator plays a pivotal role in managing and overseeing all aspects of contract administration. This position ensures that vendor agreements, service contracts, and other legal documents are thoroughly reviewed, accurately executed, and meticulously tracked to safeguard compliance and operational efficiency.

The person in this role will collaborate with cross-functional teams, including on-site, and facilities team to develop strategic contracts that align with our mission of fostering sustainable, thriving communities.

With a focus on mitigating risk, optimizing vendor performance, and ensuring seamless contract management, the Contract Administrator will be instrumental in driving the success of TI Communities' initiatives and long-term goals.

Key Responsibilities

  • Review, draft, and negotiate contracts related to vendor services, maintenance, CapEx (Capital expenditures), property upgrades, and other essential property management activities, ensuring terms are favorable and risk is minimized.
  • Maintain and organize contract documentation, including executed agreements, amendments, insurance certificates, and compliance records, ensuring that all documents are up-to-date and easily accessible for audit purposes.
  • Collaborate with property managers, vendors, legal teams, and leadership to identify contract needs, provide guidance on contract terms, and ensure alignment with company objectives and legal requirements.
  • Develop and implement contract management processes, tracking performance to ensure vendors and contractors adhere to agreed terms, deliverables, and timelines.
  • Proactively manage contract renewals, terminations, extensions, and amendments, ensuring deadlines are met and minimizing service interruptions.
  • Identify and mitigate potential risks in contract agreements, addressing issues proactively and resolving disputes in a timely and efficient manner.
  • Analyze contract data and trends to report on vendor performance, cost-effectiveness, and compliance, providing insights to improve future negotiations and contracting decisions.
  • Support internal stakeholders with contract training, educating teams on key contractual obligations and best practices to streamline processes and improve outcomes.

Qualifications and Skills

  • Proven experience in contract administration, preferably within property management or a related field.
  • Strong understanding of legal and regulatory requirements in the property management industry.
  • Exceptional attention to detail and organizational skills with the ability to manage large volumes of contracts.
  • Excellent communication, negotiation, and conflict resolution abilities.
  • Proficiency in contract management software and Microsoft Office Suite.
  • Strong analytical and problem-solving skills, with the ability to manage multiple projects and deadlines efficiently.
