We are seeking a Receptionist for our team located in Charleston, South Carolina. As a Receptionist, you will be the first point of contact for our company and you will provide administrative support across the organization.
You will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.
Responsibilities :
- Serve as first point of contact for visitors, directing them appropriately.
- Answer, screen and forward any incoming phone calls while providing basic information when needed.
- Maintain security by following procedures and controlling access via the reception desk.
- Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.
- Maintain professional interaction and demeanor with all employees and visitors.
- Handle and redirect customer inquiries.
- Assist visitors in finding their way around the office.
- Maintain a professional and pleasant phone manner at all times.
- Handle inbound telephone calls and redirect them or keep messages.
- Maintain a clean reception area and conference rooms.
- Proficiency in performing typical receptionist duties such as answering phone calls, scheduling appointments, and maintaining a clean and organized front desk area.
- Ability to direct visitors to the appropriate department or personnel within the organization.
- Excellent interpersonal skills to assist visitors, providing them with necessary information and guidance.
- Maintaining a professional demeanor at all times, representing the company's image positively.
- Demonstrating a professional manner when interacting with colleagues, clients, and visitors.
- Proficiency in professional phone etiquette, ensuring all inbound telephone calls are answered promptly and courteously.
- Ability to handle multiple phone lines, transferring calls as necessary and maintaining a pleasant phone manner.
- Willingness to take on additional tasks as required, demonstrating flexibility and adaptability.
- Previous experience in a similar role within the architecture industry would be advantageous.
- Solid understanding and experience with office equipment such as fax machines, scanners, and photocopiers.
- Excellent oral and written communication skills.
- Strong organizational skills and the ability to multitask in a fast-paced environment.
- Proficiency in the use of computer software such as Microsoft Office Suite.
- Willingness and ability to learn new systems and procedures quickly.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team.
- High school diploma or equivalent education level is required.
