Position Overview
As Spiro continues its impressive growth as part of the GES Collective Spiro is hiring a Sr. Project Manager, New Business to join our Brand Activation & Events (BAE) team.
The Sr. Project manager is an integral and valuable part of the Client Growth team and Spiro as an organization. And will be responsible for presiding over a new business project at every stage with authority and responsibility, from its initiation, planning, implementation, monitoring, and controlling to its completion and closure.
This all to assist the team help in reaching our annual NBD revenue goals with timely management and delivery of projects - and a close eye on budget.
This role requires someone who can maintain efficiency and consistency of the RFPs, RFIs, and Spiro internal BAE projects while optimally working with resource management to utilize available resources properly, keep the team motivated and united to accomplish project goals efficiently and on time.
Responsibilities
Overall responsibilities consist of, but are not limited to, the following :
- Assisting the BAE New Business team with end-to-end business development and RFP / RFI / RFx project management from prospecting, intake, agency response, submission, pitch, award or close out.
- Responsible for the organization of the RFx ecosystem across :
- MSFT Teams / Sharepoint RFx Folders containing internal and client documents
- Workback calendars
- Updating Salesforce.com with prospecting details, pipeline and active project status
- Updating Monday.com with current global projects and coordinating with other BAE PMs
- Internal RFx budget creation support and oversight / management once created
- RFx Intake
- Supporting NBD leads as we intake projects and set up Go / No-Go Meetings, RFP Qualification forms, Internal Kickoffs and RFP Budget Estimates.
- Coordinate RFx workback schedule that aligns with team availabilities and allows for on-time delivery of project submission to client.
Meetings can include but aren't limited to :
- Internal Kickoffs, Strategic Creative Briefs, Team Check-Ins, Pricing Approvals, Final Reviews and Presentation Rehearsals.
- RFP Creative and Response support will include :
- Manage workback
- Touch base & follow-up with Pitch Team members to stay on track of timing
- Reschedule meetings and revise workback as required
- Work with Departments to identify Project Resource Needs, Hours, etc.
- Work with NBD Lead to Populate Response Slides (Background information, bios / headshots, awards, Budget & Timing, etc.)
- RFI / RFP Finalization support will include :
- Potential to help support creative design briefings if needed.
- Work will require PM deck clean up support if creative / design is unable to support.
- Work with Copy / Proofreading to review responses prior to submissions
- Set up Pricing Reviews with Estimating / Pricing / Finance where applicable.
- Assist with assumptions & budget slides, as needed
- Work with NBD Lead to ensure all parts of the brief have been answered
- Work with departments (as required) to fill out any corporate information (IT, Security, etc.)
- Assist with RFx submission, if applicable
- RFI / RFP Win or Close Out will support
- Downloads & saves down all NBD Teams files into the RFP Proposal Sharepoint
- Supports NBD Internal Hand-Off document in prep for hand-off meeting
- Adjusts Salesforce status for the project
- Overall
- Expanding knowledge set of past RFxs to support best practices, case studies, and response frameworks for future RFx work.
- Furthering our best practice work to incorporate top RFx answers into RFI bank or sharing case study work with Sales Enablement.
- The role will include Sr. level support for our EVP of Brand Activation Events and supporting any ELT or SLT requirements that may come up. This will include :
- Provide support and project management to EVP on BAE internal projects when requested
- ELT / SLT deck support across Internal Meetings, QBRs, and Status updates
- Support and coordination with other Spiro and GES Collective personnel when needed
- Note-taking, meeting and workback schedule coordination for BAE team meetings

Requirements

- Bachelor's degree, preferably business / marketing / communications emphasis or equivalent industry experience
- 7-10+ years at a high growth agency supporting in a project management role. Experience preferably in custom product / marketing solutions, events, tradeshow, or advertising industry, a strong plus.
Both B2B and B2C event experience are a plus.
- Experience supporting, working on, and converting integrated marketing campaigns at large agencies or with large brands into new clients
- Must be able to support the creation of proposals / presentation responses, coupled with excellent written and verbal communication skills.
- Experience supporting sales teams with a focus on C-level, VP Marketing, and Events Decision-makers
- Proven ability to coordinate the development of value-add marketing solutions for clients

- Experience and proficiency utilizing Microsoft Office Suite, Salesforce.com and Monday.com. Looking for a Microsoft Office Wizard, specifically PowerPoint deck creation.
