BASIC PURPOSE :
The Home Care Operations Manager is responsible for achieving and maintaining all budget lines within the business. This position is responsible for increasing market share, gross profit, and contribution income through business development, continued productivity improvements, and standardization of operating procedures.
ESSENTIAL FUNCTIONS :
- Develop and implement operational procedures and policies to streamline workflows and improve efficiency.
- Monitor key performance indicators (KPIs) to track branch performance and identify areas for improvement.
- Manage budgeting, forecasting, and financial reporting for the branch to ensure profitability and sustainability.
- Evaluate and streamline operational processes to enhance efficiency.
- Implement best practices and continuous improvement strategies.
- Manage and allocate resources effectively, including staff, equipment, and supplies.
- Ensure optimal utilization of resources to meet client and organizational needs.
- Work closely with the internal stakeholders to develop and manage the operational budget.
- Monitor expenses and identify cost-saving opportunities without compromising quality.
- Implement and leverage technology solutions to enhance operational effectiveness.
- Oversee the integration and maintenance of software systems for scheduling, billing, and record-management.
- Stay updated on industry regulations and compliance requirements.
- Ensure that the branch operates within legal and regulatory frameworks.
- Identify potential operational risks and proactively develop mitigation strategies.
- Establish and enforce safety protocols for both clients and staff.
- Develop and implement quality control measures to uphold service standards.
- Conduct regular audits and assessments to monitor compliance with established protocols.
- Collaborate with the branch leadership team to ensure staff members are well-equipped with the necessary skills.
- Facilitate ongoing professional development opportunities for operational staff.
- Manage relationships with vendors and suppliers to ensure timely and cost-effective procurement of necessary supplies.
- Negotiate contracts and agreements to optimize cost and service quality.
- Address any operational issues promptly and collaborate with relevant stakeholders for solutions.
- Establish key performance indicators (KPIs) to measure and track operational performance.
- Regularly analyze data to identify areas for improvement and implement corrective actions.
- Develop and implement emergency response plans for operational disruptions.
- Ensure staff is trained to handle emergencies and crises effectively.
- Work closely with branch managers to align operational strategies with overall organizational goals.
- Provide support and guidance to address operational challenges at the branch level.
- Provide back-up support for Branch Manager responsibilities when needed.
- All other duties as assigned.
QUALIFICATIONS :
- 3+ years of office administration, operations management, or business management experience or other similar discipline.
- 3+ years prior management experience in a corporate environment.
- Knowledge and Experience in Home Care preferred.
- Exceptional organizational skills to manage multiple tasks, priorities, and deadlines simultaneously.
- Strong leadership qualities with the ability to guide and motivate a diverse team.
- Excellent communication skills, both written and verbal, to effectively interact with clients, candidates, and internal teams.
- Significant experience in the staffing industry, with a proven track record of success in operations management.
- Understanding of labor laws, employment regulations, and compliance requirements in the regions of operation.
- Adept at identifying challenges and developing effective solutions in a fast-paced and dynamic environment.
- A customer-centric mindset with the ability to understand and meet client expectations, fostering long-term relationships.
- Familiarity with recruitment software, applicant tracking systems, and other technology tools used in the staffing industry.
- Strong analytical abilities to assess performance metrics, identify trends, and make data-driven decisions to improve operational efficiency.
- Understanding of budgeting, cost control, and financial management to ensure the company operates within its financial targets.
- Ability to collaborate effectively with cross-functional teams, including sales, marketing, and human resources.
- Flexibility and adaptability to navigate changes in the staffing industry, market trends, and client needs.
- Commitment to high ethical standards, integrity, and confidentiality, particularly when dealing with sensitive information.
Education :
- High School Diploma or equivalent required; Bachelor’s degree in Business or other similar discipline preferred.
- Or any equivalent combination of education and experience sufficient to successfully perform the essential functions of the job.
