Job Summary :
We are recruiting on behalf of a small government contractor client for an Executive Assistant to support a Finance Executive of a large federal government agency.
This role involves managing a variety of administrative tasks, ensuring efficient daily operations, and acting as a key liaison between the executive and internal / external stakeholders.
The position requires in-office presence 3-4 days per week.
Key Responsibilities :
- Provide executive-level administrative support to the Finance Executive, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and edit financial documents, presentations, and reports, ensuring compliance with government standards and regulations.
- Manage confidential and sensitive information with a high level of discretion.
- Assist in preparing financial documentation, tracking budgets, and processing invoices.
- Serve as a primary point of contact for communications with internal departments and external agencies, managing email and phone correspondence on behalf of the executive.
- Organize and maintain both electronic and paper files for efficient record keeping and audit readiness.
- Coordinate meetings, including agenda setting, taking minutes, and following up on action items.
- Conduct research and gather data to support the executive on various ongoing projects.
- Perform additional administrative duties as needed to support the executive and the broader team.
Qualifications :
- A minimum of 4 years of experience as an executive assistant, ideally within a government contracting or federal government environment.
- Exceptional organizational skills, with the ability to multitask and prioritize tasks in a fast-paced setting.
- Excellent written and verbal communication skills, with the ability to interact professionally with senior government officials.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office productivity tools.
- Experience with government procurement processes and financial documentation is an asset.
- Strong ability to work independently, exercising sound judgment and attention to detail.
- Availability to work in-office 3-4 days per week and meet all relevant security clearance requirements.
Preferred Skills :
- Familiarity with federal finance and procurement processes.
- Prior experience working within the government contracting industry.
Work Environment :
- The role is primarily office-based, with some flexibility for remote work as needed.
