The Office of Human Resources is looking for an experienced Confidential Executive Assistant / Project Leader to join our HR Team.
The candidate will work closely with the Executive Director of Human Resources as a Confidential Executive Assistant who will be versed in CCNY's policies, procedures, and systems.
The candidate's primary focus will include HR high-level
projects and open tasks. He / She will research, monitor, and implement outstanding projects.
The Confidential Executive Assistant / Project Manager will report to the Executive Director of Human Resources at The City College of New York.
In addition to the CUNY Title Overview, the Confidential Executive Assistant duties include but are not limited to the following :
- Ensure that assigned HR projects are completed in a timely manner
- Procure required internal and external resources and services ·and manages their utilization
- Organize, creates, and distributes key, complex management reports with a high degree of accuracy
- Works on department initiatives and special projects and prepares materials for presentations and conferences
- Create appointment and meeting schedules, arranges meetings, and prepares for a variety of special events
- Maintain an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule
- Organize, manages, and tracks written and email correspondence and prepare letters and new memos
- High proficiency with relevant computer software programs such as Outlook, Excel (including, but not limited to, PivotTables, Filters, Conditional Formatting) and PowerPoint, with the ability to learn new software and operating systems
- Perform assignments that are varied and complex in nature, often while under time critical deadlines
- Track HR Matrix and HR best practices
- Participate in special projects and efforts to improve unit effectiveness

QUALIFICATIONS
Bachelor's degree and four years' related experience required.
Preferred Qualifications :
Master's Degree; two to three years of additional experience pertinent to the scope and complexity of special project, preferred.
The successful candidate will have :
- Previous experience in Human Resources within a Higher Education Institution
- Strong customer service orientation, leadership skills, and attention to detail
- Excellent interpersonal and oral / written communication skills
- Proven ability to be a self-starter who can manage and prioritize a diverse workload
- Experience with PeopleSoft software and Microsoft Office; proficient in Excel
- Ability to align HR practices with HRIS systems and produce management reports
- Personable and responsive with the ability to establish and maintain positive working relationships with college personnel and representatives of various external agencies
CUNY TITLE OVERVIEW
Supports a Campus or University Executive as a confidential assistant, organizing and supervising unit activities.
Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events; maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule
Coordinates Executive communications, including those requiring a high degree of sensitivity; responds to public inquiries as well as requests from within the Campus / University community
Organizes, creates, and distributes key, complex management reports with a high degree of accuracy
Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities
Procures required internal and external resources and services and manages their utilization
May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing
Participates in special projects and efforts to improve unit effectiveness
Performs related duties as assigned.
This position is excluded from union representation.

COMPENSATION AND BENEFITS
Salary Range : $90,375 - $93,134. Salary commensurate with education and experience.
