We are seeking a dynamic and experienced individual to join our team as a Manager / Director of Project Management within the Office of the COO.

This role is pivotal in driving organizational efficiency, ensuring seamless coordination, and facilitating effective communication across various workstreams.

The ideal candidate will possess strong project management skills, exceptional stakeholder engagement abilities, and a strategic mindset to support our mission and objectives.

JOB DESCRIPTION

Key Responsibilities :

Project Management Leadership :

  • Lead and oversee the management of key projects within the Office of the COO, ensuring alignment with organizational goals and priorities.
  • Develop comprehensive project plans, timelines, and budgets, while closely monitoring progress and identifying potential risks and issues.
  • Foster a culture of accountability and excellence within the project management team, driving continuous improvement and adherence to best practices.

Stakeholder Engagement and Collaboration :

  • Build and maintain strong relationships with stakeholders across various departments and levels of the organization, serving as a trusted advisor and point of contact.
  • Facilitate effective communication and collaboration among project teams, ensuring clarity of roles, responsibilities, and expectations.
  • Proactively identify stakeholder needs and concerns, and address them through strategic planning and proactive communication strategies.

Work Tracking and Dependency Management :

  • Implement robust processes and tools for tracking work, dependencies, and milestones, ensuring transparency and accountability throughout the project lifecycle.
  • Identify and mitigate potential bottlenecks and dependencies, proactively resolving issues to keep projects on track and within scope.
  • Collaborate with cross-functional teams to streamline workflows and optimize resource allocation, driving efficiency and effectiveness.

Meeting and Decision Readiness :

  • Prepare stakeholders for key meetings and decision points, ensuring that necessary information, data, and analyses are available and accessible.
  • Facilitate productive meetings and workshops, guiding discussions, capturing action items, and driving towards consensus and action-oriented outcomes.
  • Provide support and guidance to project teams in preparing presentations, reports, and other materials for internal and external audiences.

Support for Communications Workstream :

  • Collaborate with the communications team to support the content development and coordination efforts, ensuring alignment with project objectives and organizational messaging.
  • Assist in the development of communication plans and materials, including presentations, newsletters, and other relevant content.
  • Coordinate with internal and external stakeholders to disseminate information and updates effectively, maximizing engagement and impact.

Qualifications :

  • Bachelor's degree in Business Administration, Project Management, Communications, or related field; advanced degree preferred.
  • Proven experience (10 years) in project management, with a track record of successfully leading complex initiatives from initiation to completion.
  • Strong understanding of project management methodologies Agile, Scrum, Waterfall) and tools Microsoft Project, Jira, Asana).
  • Excellent communication and interpersonal skills, with the ability to engage and influence stakeholders at all levels of the organization.

Strong deck development and storytelling skills with Microsoft suite, including PowerPoint.

  • Exceptional organizational and analytical abilities, with a keen attention to detail and a focus on delivering high-quality results.
  • Demonstrated leadership capabilities, including the ability to motivate and inspire cross-functional teams to achieve shared goals.
  • Flexibility and adaptability to thrive in a fast-paced, dynamic environment, with a commitment to continuous learning and improvement.

Compensation is based on geographic location and individual pay decisions will vary based on demonstrated job related skills, knowledge, experience, education, certifications, etc.

Corporate Positions : In addition to the base salary, may be eligible for an annual performance bonus that is based on individual and company performance.

Onsite Property Positions : In addition to the base salary, may be eligible for a discretionary weekly, monthly and / or quarterly bonus based on budget.
