Job Summary
The Office Manager is responsible for overseeing a range of general office activities to support the company’s operations.
This role involves managing office systems, staff, and processes to ensure efficient and effective office operations.
Job Responsibilities
- Office Efficiency : Plan and implement office systems, layouts, and equipment procurement to maintain office efficiency
- Record Retention : Oversee the retention and management of records for assigned locations, including procedures for retention, protection, retrieval, transfer, and disposal
- Personnel Management : Handle office staff activities, including HR onboarding, Kronos payroll, and administration of vacation / benefits
- Office Services : Organize office operations and procedures, design filing systems, manage information, handle accounting tasks, order supplies, and supervise clerical functions
- Reporting : Prepare and review operational reports and schedules to ensure accuracy and efficiency, and identify trends for management
- Process Improvement : Analyze internal processes and recommend procedural or policy changes to enhance operations, such as optimizing supply management or updating record disposal practices
- Budget Management : Plan, administer, and control budgets for contracts, equipment, and supplies. Manage inventory and ensure cost-effective spending
- Maintenance Oversight : Oversee the maintenance and repair of office machinery, equipment, and electrical and mechanical systems
- Safety and Compliance : Participate in safety committees, and act as a resource for Corporate regarding safety, benefits, new hires, onboarding, and other HR-related matters at regional locations
- Clerical Coordination : Coordinate the activities of clerical employees to ensure smooth office operations
- Additional Duties : Perform other duties as assigned
Qualifications
- At least two years of previous experience in office management
- Experience in a fast-paced environment
- Bachelor’s degree or equivalent preferred
- Strong verbal and written communication skills
- Excellent organizational and time management skills
- Proficient in technical and digital tools
- Effective planning, prioritizing, and delegating skills
