The Role :
The HR / Labor Benefits Assistant provides day-to-day support for HR operations with a strong focus on Union and Non-Union Benefits, Labor Relations, and Leave Management.
This role manages Union Dues, Benefits Administration, employee transactions, compliance with labor regulations, and handles Leave Programs such as FMLA, Disability, and Workers’ Compensation for the company’s union and non-union workforce.
Location : Financial District - New York City ( HYBRID ; 3 days in-office after 90 days)
Schedule : Monday - Friday, 9 AM-5 PM
Salary : $65,000 - $75,000 + Benefits (Comprehensive benefits package, including paid holidays, paid vacation, health, dental, and vision insurance, 401(k) plan, and more)
Key Responsibilities :
- Set up, maintain, and remit union dues, initiation fees, American Dream Fund, and Union 401K deductions on an ongoing basis for several unions.
- Review and investigate audit claims related to Union 401K, Dues, Initiation Fees, and the American Dream Fund, identifying discrepancies and implementing resolutions.
- Coordinate with Unions and internal teams to address payment processing issues.
- Track the tenure of temporary employees, ensuring compliance with employment limits and notifying Dispatch of upcoming terminations or permanent transitions.
- Handle Labor Relations and HR inquiries regarding policies, procedures, and bargaining agreements; refer complex matters to management.
- Process and administer all leave programs such as FMLA, Disability, Workers’ Compensation, and accommodations for both union and non-union employees across multiple states.
- Effectively interpret FMLA and ADA implications as they relate to leaves of absence and disabilities.
- Assist with the preparation of plans, policies, documents, and reports, including EEO-1 reports, affirmative action plans, organizational charts, labor agreements, and employee handbooks.
- Address HR-related complaints from employees and direct inquiries appropriately.
- Support day-to-day HR operations, including but not limited to hiring, terminations, transfers, and pay rate changes.
- Ensure compliance with federal, state, and union labor regulations.
- Maintain accurate employee records and generate HR reports as needed.

Qualifications :
- Experience working with Unions is necessary ; experience in the janitorial industry is a plus.
- Knowledge of Union Benefits and Leave Administration (FMLA, WC, etc.).
- Proficiency in Spanish or Albanian is a significant plus.
- 2+ years of HR experience focusing on Benefits and Labor Relations.
- Strong command of Microsoft Excel and the Office Suite.
- Proficiency in Paylocity and other relevant software is beneficial.
- Ability to prioritize workload with a strong attention to detail.
- Strong analytical, organizational, and communication skills.
- Demonstrated professionalism and flexibility in accommodating varying needs.
- Bachelor’s degree in HR, Business, or a related field preferred.
