Under general direction, assists the Controller in the day-to-day coordination of the accounting department functions at COFAM.

Makes decisions based upon a comprehensive knowledge of Generally Accepted Accounting Principles (GAAP). Duties performed are of moderate to high degree of complexity and diversity.

Must be able to interpret and explain existing accounting and fiscal policies and procedures. Personally performs complex and difficult accounting and audit preparation work.

Prepares a wide variety of financial reports.

Typical Duties and Responsibilities :

  • Performs a variety of accounting and administrative tasks, such as reviewing source documents for accounting purposes, maintaining ledgers, recording entries, compiling budget information, and interacting with third parties.
  • Oversees the Accounts Payable function, including supervising the staff assigned to this area. Review monthly corporate credit card transactions after preparation by the Principal Accounts Clerk.
  • Manage the Accounts Receivable / Cash Collection function and supervise employees in this area. Assists with the collection of past due invoices.
  • Responsible for revenue recognition accounting in areas such as membership dues, annual fund, special events and benefits gross income, general admissions and special exhibition admissions.
  • Responsible for accounting related to the Museums’ Foundation, including Endowment and Temporary Restricted Fund accounting, Accounts Payables, creating Accounts Receivables invoices to related legal entities (COFAM and FAM) and timely and accurate accounting and documentation for deaccessions and art acquisition funds.
  • Oversees the accounting for the Museums’ Auxiliary organizations. With the Principal Accounts Clerk, provides monthly financial statements to the Auxiliaries and meets with their representatives as needed to review their transactions.
  • With the Controller, completes the month end closing of their general ledger account responsibilities. Reviews system reports for accuracy.

Creates and posts adjusting entries as necessary.

Oversees preparation of various schedules and reports relating to the annual audit as directed by the Controller. Reviews audit reports and provides general assistance during the annual audit.

Assists with other audits as required.

  • Assists the Controller with annual 990 tax return preparation and other miscellaneous tax filings as required.
  • Assists the Controller and CFO with annual budgeting processes.
  • Assists the Controller with researching variances in budget to actual reports and provides analysis on those variances.
  • Recommends improvements in internal controls and accounting policies and procedures to the Controller. Assists in developing and implementing accounting policy and procedures.
  • Helps train Museums’ staff on using Financial Edge, PaperSave (electronic filing system) and Concur, and ensures systems are being fully and effectively utilized by users.

Minimum Qualifications :

Education : Bachelor’s Degree in either Business or Accounting from an accredited college or university.

Work Experience : 5 years of general ledger accounting, Accounts Receivables, and Accounts Payables experience, including two years supervising, managing, and training accounting personnel.

Non-profit experience required.

Skills and Abilities :

  • Comprehensive knowledge of Generally Accepted Accounting Principles (GAAP) and experienced in endowment and fund accounting programs.
  • Proficient in computer applications; must be at an advanced Excel level (including knowledge of pivot tables); Financial Edge knowledge preferred.
  • Detail-oriented with a high level of accuracy.
  • Ability to handle multiple tasks, set priorities, work independently, use good judgement, and meet deadlines.
  • Ability to maintain accurate and up-to-date records. Ability to handle and safeguard confidential matters, data, and records.
  • Strong interpersonal skills; ability to deal effectively with staff, vendors, and members of the public in a professional manner.

The benefits package includes medical, dental, vision and 401(k), and paid time off.

This position is eligible for a hybrid work schedule. Hybrid schedules typically include at least 3 days a week onsite and up to two days per week working remotely.

The annual salary range for this position is $118,000-132,000. The final offer amount within this range will be based on experience and internal equity.
