The Front Desk and Adult Ministry Administrator will make a welcoming first impression to everyone who enters the church.

This role will provide administrative support to leadership team at the church. This position will provide support to the Congregational Care Executive Pastor in supporting the Care Groups and Adult Ministries.

Job Location : This is an onsite position in Naperville, IL.

Hours : Part-time 30 hour / week including some evening and weekends

Good Shepherd Lutheran Church in Naperville is focused on serving the spiritual needs of our community and on leveraging the time, talent, and financial resources to help others in our community, across the nation and around the world.

Good Shepherd has about 1,000 active members who attend worship and ministry events regularly. We have over 15 different ministries to connect with members of the church ranging from children, teens, and adults.

Administrative Responsibilities :

  • Greet staff, volunteers, and visitors in a friendly and professional manner and answer any questions they may have.
  • Support various operational areas such as communications, wedding, funeral, and special events coordination, and facility scheduling.
  • Manage the database to track ministry groups, event registrations, and church membership information and prepare reports as needed.
  • Manage the Senior Pastor's and Operations Executive Director's calendars of internal and external meetings, appointments, and events, including managing reservations, accommodations, and details for out-of-town trips.
  • Compose, type, edit, and proofread letters, emails , brochures, slides, and other materials utilizing Microsoft Office, Google Docs, Canva, Constant Contact, and other programs.
  • Create, print, assemble, and mail documents.
  • Complete administrative projects including filing, faxing, scanning, and assisting and training others with standard office equipment and processes.
  • Assist in keeping all workrooms, supply areas, and other assigned areas stocked and organized.

Care Group Responsibilities :

  • Assist with grief support through supportive phone calls, sympathy cards, and sending grief books. Work with pastors to provide follow-up care as needed.
  • Create weekly reports and of congregational care needs to Congregational Care Executive Pastor and pastoral team.
  • Work with Congregational Care Executive Pastor to plan, set up, and implement weekly care / hope night programs to support our congregation and local community.

Help identify any needs or gaps within the congregation and community.

  • Follow up with and support care ministry leaders through emails, cards, and one-on-one debriefing and training.
  • Attend weekly care programs and events to offer planning, prayer, and leadership.
  • Connect with care / hope night participants across a variety of care ministries. Partner with the First Impressions Minister to engage people who do not have a church home.

Adult Ministries Responsibilities

  • Support and recruit group leaders.
  • Connect new members and attendees to a small group with the result of discipleship and engagement in the life of the church.
  • Help plan and lead fellowship nights and small group-based events throughout the year.
  • Become familiar with curriculum resources in order to make recommendations for small groups.
  • Produce and distribute correspondence through phone calls, emails, letters, faxes and forms.
  • Handle administrative needs for adult ministries and small groups such as emailing, greeting cards, placing phone calls, and printing.
  • Create weekly or monthly reports to track small group growth and retention.

Requirements

Education and Experience : Completion of an Associate's degree preferred or three years of administrative support experience (preferably in a church or ministry related environment.)

  • Excellent verbal and written communication skills via phone, in person, and digitally
  • Demonstrated proficiency in Microsoft Office, Google Docs, and database management systems (i.e., Realm)
  • Ability to answer a multi-line phone system
  • Ability to work as part of team with shifting priorities
