Administrative Assistant and Transportation Manager
Assistant to the Director of Facilities & Daily Student Transportation Manager
We are looking for an experienced, proactive candidate to perform in the role of Assistant to the Director of Facilities & Daily Student Transportation Manager.
This role will be responsible for supporting the Facilities Director by performing administrative and project tasks as well as managing the contracted transportation busing program for Chaminade.
Duties / Responsibilities - Assistant to Director
- Review and maintain written and computer files, plus conduct data entry
- Assist in the coordination of administrative functions, including budget, personnel, meetings, and clerical duties
- Research and collect information
- Assist with all budget activities, including accounting
- Help implement new programs, procedures, methods, and systems
- Conduct reviews, surveys, and collect information on administrative matters
- Responsible for preparation of confidential documents and reports
- Create & maintain meeting minutes
- Coordinate and schedule meetings and conferences
- Coordinate operations, including purchasing, equipment, property inventory, building, equipment, and disposal
- Connect with building vendors to carry out small projects
- Other duties and projects as assigned
Duties / Responsibilities - Daily Student Transportation Manager
Overall management for the school's daily commuter bus transportation services for 500+ student traveling to and from school for grades 6-12.
- Provide accurate transportation content for school's website and marketing materials, and updates as needed.
- Annually evaluate current routes to align with rider demographics, while striving for equity, timeliness and safety of service.
- Meet annually with the Directors of Admissions to consider potential new areas and / or stops to consider that may align with student recruitment goals.
- Orchestrate annual registration process for bus riders, including timely payment for services.
- Represent the school for the management of services provided by the contracted transportation company, including communications regarding any MST bus driver behavioral issues that need to be addressed.
- Conduct orientation each year with drivers and students regarding bus service and expectations about behavior.
- Daily monitoring of buses while in operation in mornings and afternoons, including tracking arrival times at stops and / or school sites
- Periodically check that safety protocols and regulatory inspections are occurring with bus company and drivers.
- Periodically surprise visit campus bus loading and unloading to monitor for functionality.
- Email reminders to parents and in CTW when there a daily route schedule is out of the normal range (noon days, or 2 : 30 days) and coordinate student PA announcements.
- Follow up with Dispatch, Lead Driver and parents on any issues that arise during daily bus operations (i.e. traffic delays, breakdowns, items left on bus, et al).
- Communicate any emergency situations with parents on a timely basis using the school's emergency communication system.
- Liaison between drivers and deans regarding student behavior issues
- Provide timely and friendly customer service to help answer transportation program questions and concerns coming from parents, students, and school employees during and between transportation operating hours
- Collaborate with both Upper and Middle School campuses to ensure a timely and accurate after school dismissal program.
- Stay abreast of regulatory and school industry developments related to daily school transportation services for students.
- Assist with other bus needs of the school as may be requested.
- Maintain a list of approved bus companies for school activities and assist when / as needed.
Skills / Qualifications
- Associate's degree from an accredited college or university is preferred
- Prefer a minimum of 2 years' relevant work experience in a school setting
- Prepare accurate reports
- Exceptional communication and interpersonal skills
- Attention to detail and an aptitude for problem-solving
- Able to proactively address potential issues
- Excellent computer skills, including experience with Microsoft Office Suite and / or Google Workspace
