TheAdministrative Assistant (HR & Bookkeeping) providessupport to the executive management and administrative staff andfunctions of The Glass Jar Inc.

including Bookkeeping HumanResources and general office support. The Administrative Assistantreports directly to and is under the supervision of the Bookkeeperand the Human Resources Coordinator.

TheGlass Jar Inc. which includes The Penny Ice Creamery and The PicnicBasket was founded in Santa Cruz CA in 2010 with a focus on madefrom scratch deliciousness locally sourced ingredients andcommunity.

We currently operate six Penny Ice Creamery locationsacross Santa Cruz County and Santa Clara County along with our cafeThe Picnic Basket near the Santa Cruz Beach Boardwalk.

TheGlass Jar Inc. would like to hire an organized enthusiasticarticulate and detailoriented person that is looking to expandtheir skills and knowledge for organizational and personal growth.

This person should have a strong interest in learning and executingadministrative and HRrelated functions and duties of an expandingsmall business in the restaurantindustry.

Thisposition includes responsibility for the security and integrity ofsensitive data and will be expected to maintain The Glass Jar sconfidentiality.

A background check is required for this position.

Thisposition allows for a flexible schedule but will require reliabletransportation in order to move between locations. Work will beperformed in the Santa Cruz office and at each worksite asrequired.

Thisperson should be comfortable and familiar with GSuite (GoogleWorkspace) and be able to learn and navigate our Point of Sale(Toast) external delivery systems (DoorDash) security system (Ring)and any other relevant systems orprograms.

Requirements

AdministrativeBookkeeping Responsibilities Include :

Assistwith ongoing processes such as payables billables andcashhandling.

Follow all laws governing the processingofmonies.

Work in conjunction with the Bookkeeper / HR Coordinator infacilitating the orderliness of our data entry and filing systems;sorting andfiling.

Travel to various restaurant locations asneeded.

Gather vendor invoices and cash drops; enter vendor bills andinvoices into QuickbooksDesktop.

Compile data; dataentry.

Assist in printing / generating / mailing / delivering vendor andpayrollchecks.

Count and reconcile cash tips and cash drops; make bankdeposits.

Manage change banks for various locations asneeded.

Assist with payroll.

AdministrativeHuman Resources Responsibilities Include :

Assist the HR Coordinator in hiring including : posting openpositions initial screening of applicants scheduling interviewsresponding to applicants / interviewees / candidates.

Assist the HR Coordinator in onboarding including : trackingonboarding requirements (paperwork / certifications / keys / access toRing alarm systems Quickbook entering) scheduling trainings andconducting follow up correspondence with new hires.

Help maintain employee documentation including applications hiringpaperwork tax forms CA Food Handler Cards RBS Certificationswaivers writeups reimbursements final paycheck receipts jobdescriptions accident / injury reportsetc.

Assist in employee data tracking including : sick pay accrualattendance records wage or position changes employee life cycledata employment classification status.

Maintain our compliance and safety records for each business / location including : health and selling permits inspectionscertifications pasteurization licenses and CDFA requirements SantaCruz County and Santa Clara County health and safety requirementsand other related safety and compliance needs required by lawand / or The Glass Jar.

Maintain the routine maintenance schedules for our equipment andrefrigeration.

AdditionalDuties and QualificationsInclude :

Conduct relevant research and collect information.

Answer phones asnecessary.

Support other employees asneeded.

Work with others at The Glass Jar in a poised and professionalmanner.

Communicate clearly and effectively with internal and externalstakeholders (written and verbal communications).

Assist with finance and HR projects as needed bymanagement.

Help with officeorganization.

Submit orders for office supplies or other supplies as directed bymanagement.

Review incoming email and postal mail printing data entry sorting / filing and other administrative tasks asassigned.

Uphold all standards of The Glass Jar Inc. and serve as a brandambassador.

Work on additional projects as assigned.

  • Assist the HR Coordinator in onboarding, including : tracking onboarding requirements (paperwork / certifications / keys / access to Ring alarm systems, Quickbook entering), schedulingtrainings, and conducting follow up correspondence with new hires.
  • Help maintain employee documentation including applications,hiring paperwork, tax forms, CA Food Handler Cards, RBSCertifications, waivers, write-ups, reimbursements, final paycheckreceipts, job descriptions, accident / injury reports, etc.
  • Assistin employee data tracking, including : sick pay accrual, attendancerecords, wage or position changes, employee life cycle data,employment classification status.
