Secretary II, Corporate, Community, & Continuing Education-Assistant Dean
Under direction of the Assistant Dean, the Secretary II performs varied clerical and secretarial duties for and relieves supervisor of minor administrative duties.
Maintains a close and highly responsive relationship to the day to day work activities of the office of the supervisor. Work requires knowledge of programs and procedures relating to the work of the supervisor, as well as other departmental personnel.
The Secretary II is dedicated to the learning college concepts by developing programs and facilitating activities that promote student success and lifelong learning.
This position will support the department’s contract training function. Key job duties include managing customer contracts, billing, registrations, course setup, faculty paperwork, and organization of client folders.
Education / Experience High school diploma or general education degree (GED); a minimum of one year specialized training in related area;
and minimum of three years’ related clerical / secretarial experience in a general office environment required. Associate’s degree preferred.
Note : Software and skills proficiency testing for the Secretary II level position will be required upon hire and must be successfully completed within the probationary period, if this testing has not been previously completed.
Proficiency testing will include basic Word, basic Excel, alpha filing, keyboarding test, data entry, proofreading and other tests for the role.
Qualifications Ability to read and comprehend instructions, correspondence, and memos. Ability to write routine reports and correspondence.
Effective communication skills, interpersonal skills and critical thinking skills. Ability to work independently and exercise good judgment.
Ability to type 50 words per minute and use a computer. Proficiency in Microsoft Office. Ability to compose minutes. Good organizational and administrative skills.
Ability to handle confidential material and maintain confidence. Plus, ability to complete other duties as assigned.
