GENERAL DESCRIPTION OF POSITION :
Office / Program Assistant for graduate programs in the social sciences.
Full-time, hourly position.
ESSENTIAL FUNCTIONS / MAJOR RESPONSIBILITIES :
Administrative support for graduate programs in the social sciences
- Work includes copying, filing, scanning, data entry, answering phones and the general support of students and faculty in social sciences graduate programs
- Managing budgets and student time-cards according to University policies
- Facilitate hiring of new faculty and students
- Facilitate onboarding of new faculty and students
- Assist in special events, gathering and organizing materials, set-up, refreshments, etc.
- Assist in student registration and course scheduling for social sciences graduate programs
Administrative support for MSW Field Education :
- Provide administrative support to Field Education Program including data information management in consultation with the Field Director
- Create and distribute programmatic information
- Obtain information by phone or email from field education sites
Qualifications
EDUCATION AND / OR EXPERIENCE :
Some College education required.
Previous experience in an academic setting is helpful but not required.
REQUIRED KNOWLEDGE, SKILLS, ABILITIES & BEHAVIORS :
- Excellent people skills.
- Strong communication skills, both in writing and on the phone.
- Responsible for hiring and supervising work study students.
- Assist with managing the budget and signing off on purchases and invoices.
- Responsible for arranging travel and accommodations for faculty travel.
- Responsible for scheduling rooms and catering for on and off campus events and meetings.
- Attention to detail.
- Ability to stay organized.
- Ability to prioritize tasks.
- Ability to maintain focus and productivity in a busy and active environment.
- Command of written and spoken English is required.
- Familiarity with Spanish a plus.
- Computer skills in using Google Workspace, Excel, Word, and Outlook required.
- A professional appearance is essential.
- Honesty, integrity and reliability are essential.
- Must pass a criminal background check.
CLASSIFICATION : This is a full-time (30-40 hours per week), non-exempt, benefitted position. Expected in-hire rate is $21.65 per hour.
