Description
The Student Employment Assistant in the Pan-American Life Student Success Center (SSC) is a 20-29 hour-a-week, 10-month (August-May) position responsible for coordinating operations related to the front desks and student employees, including phone communication, directing visitors to the center to appropriate staff, training and managing student employees, and tracking student visit data.
This person will oversee front office operations for the Career Development and Student Employment Center and Student Success Center.
In coordination with the office manager, this person will help supervise office student employees, including scheduling shifts, assigning and supervising projects, and maintaining timesheets.
This person also supports the Office Manager with managing the timesheets and office operations. This person also helps the Student Employment Coordinator in the Career Development Center.
This person may also assist SSC staff in executing programs and activities sponsored by the SSC.
This position is part of a dynamic, student-centric team that mainly supports undergraduate students who work for the SSC and those who are seeking employment in the Career Center.
This Student Employee Assistant will collaborate with the SSC and Career Development staff, and will report to the SSC office manager.
Examples of Duties
Greet students, faculty, university staff, prospective students and their parents and all other visitors to the center, referring them to the appropriate tutor, staff member, department or university office.
Answer calls, emails, and text messages. Refer messages to the appropriate staff member.
Manage the check-in process for appointments and walk-ins for all teams in the SSC. This includes monitoring the check-in data and assessing where process improvements can be made.
Work with directors and staff to communicate necessary information or process changes for distinct issues students may be visiting to resolve (i.
e. registration holds, staff member absences).
Support Office Manager with the supervision of front office student workers including daily tasks and completion, managing reception and check-ins, timesheet approvals, providing student worker support to office staff.
Develop and maintain ongoing duties and projects for front office staff to complete.
Coordinate and manage all hiring of front office student workers and work with Office Manager to manage payroll budget.
Assist SSC staff with various projects and special tasks and delegate such to student workers.
Assist with the maintenance of the student employment resources, web pages, handouts, social media, and other communication outlets.
In coordination with the Student Employment Coordinator, assist with email communications to students, faculty and staff regarding federal work study / student employment matters.
Collaborate with the Student Employment Coordinator in monitoring the progress of Federal Work Study Students to ensure career competency development and award completion through assessing evaluations and payroll reports.
Additional Responsibilities :
Perform other related duties and special projects as assigned by the Office Manager, SSC Directors, and / or Assistant Provost for Student Success.
Develop positive and supportive working relationships between the Student Success Center and the campus community.
Support Office Manager and staff with event-related activities including promotion and preparations.
Other duties as assigned.
Typical Qualifications
Minimum of 1 year experience in client-facing / customer service work environments, preferred work experience in an educational environment.
High School Diploma or equivalent required. Bachelor's degree preferred.
Ability to effectively communicate information accurately via phone, e-mail and in person.
Proficient computer skills including proficiency with Excel, Word, and Google Suite.
Ability to effectively communicate orally and in writing.
Strong attention to detail.
Ability to store and maintain confidential information.
Ability to develop congenial working relationships with others.
Ability to establish a positive rapport with students, parents, staff and faculty.
Preferred Qualifications :
Experience in reception positions.
Experience working in higher education settings and with college students.
Experience managing student workers.
Experience and comfort working with diverse student populations.
Ability to perform the essential functions of the position with or without reasonable accommodation.
