Position Description :
As a member of the Student Services team and reporting to the Graduate Advisor, support graduate program in the Department of Mathematics and the Program in Computing.
The Department of Mathematics currently has 150 graduate students and annually admits approximately 30-40 new students to the program.
The Graduate Student Affairs Officer is responsible for graduate admissions and prepares all applications (approximately 500) for review by the admissions committee.
Advises current and prospective graduate students. Answer inquiries in person, on the telephone and via email concerning graduate admissions, enrollment and regulations.
Serves as liaison between the Student Services Office, Finance Office, Graduate Division, and other University offices. As part of the Student Services team, ensures that department is in compliance with Graduate Division policies.
Implements policies and procedures relating to student funding, academic services, teaching assistant allocations, reimbursements, financial aid, and budget management.
Manages database for tracking admission information and academic progress. Review Master's and Ph.D. degree petitions for accuracy and compliance with regulations.
Generate required forms for doctoral examinations. Compile qualifying results for review by faculty committee and assists students with appeal process for qualifying exams.
Exercising judgment and creativity to identify issues and make recommendations to faculty. Compile and record teaching evaluations, including scores and faculty / student comments, for teaching assistants.
Create departmental reports utilizing Access and Excel and data available from University systems, departmental databases, and spreadsheets.
Update graduate program website on department server and course information on CIMS. Type course syllabi, course evaluations and comments, teaching evaluations, correspondence and memoranda.
Proof databases, spreadsheets and documents to ensure accuracy. Assist in scheduling classes and reserving rooms.
Organizes and participates in graduate admission meetings and events (Department award ceremony, open house for admitted students).
Coordinate graduate student employment (including completing hiring paperwork work and I-9 process) for Teaching Assistants, GSRs, and Readers (approximately 500 students per year).
Serve as back-up for Graduate Advisor, and assist in backup for Student Services Manager and Undergraduate Assistant.
