Job Summary
The Dental Manager's primary function is to support the Chief Dental Officer in the delivery of dental care to patients in an operational capacity for Capital Area Health Network.
The Dental Manager will provide administrative oversight of the dental clinic, including management and training of the support staff, review and maintain financial / productivity, operational issues, regulatory requirements and patient and provider relations.
The Dental Manager is responsible for the overall smooth running of the clinic and ensuring that clinic goals and objectives are met on a daily, weekly, quarterly, and annual basis.
Essential Functions and Responsibilities
1. With guidance from the Chief Dental Officer, ensure adequate personnel orientation, training, performance evaluation, and assist management with disciplinary action and / or employee growth plans when necessary.
2. Oversee all aspects of day-to-day operations of the dental clinic to ensure compliance with regulatory requirements and departmental policies / procedures.
3. Participate in the development, update and maintenance of all dental departmental policies and procedures; ensure dental staff understand and consistently follow all departmental policies and procedures.
4. Manage clinical and non-clinical personnel : ·
- Participates in recruitment, hiring and orientation of new dental staff·
- Oversee disciplinary processes
- Assist with the conduction of mid-year and annual performance evaluations
- Perform individual staff development as needed
- Oversee staff work schedules and time-off requests
5. Assist in determining financial and productivity goals for dental (number of visits / year, revenue / visit, procedures / visit, visits / provider)
6. Provide effective and courteous communication with patients to understand their needs and purpose of visit.
7. Demonstrate a high level of courtesy and human relations skills when communicating with patients and visitors.
8. Monitor and review the financial stability of the dental department.
9. Endeavor to keep client information confidential and handle them with discreteness.
10. Facilitate effective communication between patients, doctors and staff.
11. Stay up to date on HIPAA guidelines.
12. Communicate effectively with all office staff and patients.
13. Interact positively with a diverse patient population.
14. Demonstrate knowledge of skills necessary to meet the patient's physical and educational and safety needs.
15. Understand insurance verification, billing and coding, insurance write-offs and adjustments.
16. Train and manage the Dental Front Desk Supervisor.
17. Perform other duties as assigned
Specific Duties
1. Audit charts for accuracy and provide coaching when necessary.
2. Assist with the processes for End-of-the-Month.
3. Run Reports to evaluate the productivity, revenue and aging accounts.
4. Post payments and insert them into the ledger accurately.
5. Maintain communication between the back office and front office staff.
6. Assist in preparation of billing statements.
7. Calculate and or review proof of income for slide scales with final paperwork.
8. Train front desk Supervisor and staff appropriately.
9. Complete treatment plans and review with patients.
10. Maintain the office schedule.
11. Provide administrative backup to the Chief Dental Officer.
Knowledge, Skills and Abilities
1. High School diploma or equivalent
2. At least 3 years of experience in front desk duties and functions
3. Knowledge of dental terminology, procedures and diagnosis.
4. Working knowledge of dental insurance
5. Demonstrate success in computer skills including ability to use computer for scheduling, word documents and reasonable keyboard skills.
6. Ability to keep all patient information strictly confidential
7. Good communication skills
8. Ability to work in a face-paced environment
9. Ability to be pleasant, courteous, punctual and efficient
10. Ability to handle multiple tasks in a stressful environment.
