Healing Hands Homecare Agency -
The Administrative Assistant will provide comprehensive support to ensure the smooth operation of the home care agency. This role involves managing administrative tasks, coordinating with caregivers and clients, handling documentation, and assisting with various office functions.
Key Responsibilities :
Administrative Support :
- Perform general office duties including answering phones, managing emails, and handling correspondence.
- Maintain and organize files, both physical and electronic, ensuring accurate record-keeping.
- Schedule and coordinate meetings, appointments, and home visits for staff and clients.
- Prepare and process documentation, including client intake forms, care plans, and billing information.
Client and Caregiver Coordination :
- Serve as a point of contact for clients and caregivers, addressing inquiries and resolving issues as needed.
- Assist in the onboarding process for new clients and caregivers, including setting up initial assessments and orientations.
- Monitor and update caregiver schedules to ensure adequate coverage and address any scheduling conflicts.
Data Management :
- Enter and update client and caregiver information in the agency’s database.
- Generate and review reports related to client care, caregiver performance, and office operations.
Compliance and Quality Assurance :
- Ensure that all documentation and processes adhere to agency policies and regulatory requirements.
- Assist with audits and compliance checks, including maintaining up-to-date certifications and training records for staff.
Communication and Customer Service :
- Provide exceptional customer service to clients, families, and caregivers.
- Facilitate communication between all parties involved in the care process, including healthcare providers and family members.
Other Duties :
- Assist with special projects and tasks as assigned by the supervisor.
- Support office management with supplies, equipment, and general office maintenance.
Qualifications :
- Education and Experience :
- High school diploma or equivalent required; Associate’s degree or higher preferred.
- Previous experience in an administrative or office support role, preferably in a healthcare or home care setting.
- Skills and Abilities :
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office equipment.
- Strong organizational skills with attention to detail and accuracy.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive information with discretion and confidentiality.
- Capable of working independently and as part of a team.

Hours : Monday to Friday, 8 : 00 AM to 5 : 00 PM
- Environment : Office setting with occasional visits to client homes as needed.
