Title : Litigation Legal Administrative Assistant
Location : Charlotte, NC
Compensation : $50,000-59,000 base DOE + OT and bonus eligibility
Schedule : Full-time in office for first 90 days; hybrid schedule thereafter
Our client, a reputable trial law firm in North Carolina and the Southeast, is currently seeking a Legal Administrative Assistant for its office in Charlotte.
Candidates should have at least 4 years' experience with a civil litigation practice, including handling responsibilities such as opening and maintaining files, drafting and filing general correspondence and legal documents, drafting and proofreading (pleadings, discovery, etc.
scheduling and calendaring, preparing materials (hearings, mediations, depositions, meetings, the like), and submitting expense reports and invoices, among other duties as requested.
Candidates should have experience supporting multiple attorneys and working in a busy litigation practice. Must do well working collaboratively with other colleagues as well as independently!
This position is a full-time position that is both overtime and bonus eligible! While new hires must be onsite for the first 3 months, an option to move into a hybrid schedule will be available thereafter.
Responsibilities :
- Set up new files; including preparing conflict worksheet upon receipt of new case, typing labels and separating file contents into sub-files.
- General file maintenance and management, with focus on creating systems to help identify location of documents and what documents have been received and / or produced.
- Filing of general correspondence, e-mails and / or other legal documents.
- Preparation and editing of general correspondence, pleadings and / or discovery documents from attorney dictation.
- Drafting form or enclosure letters to court personnel, opposing counsel, employer, etc.
- Copying, scanning, faxing, etc.
- Field and handle phone calls that may come in for attorney in his absence.
- Review and process incoming and outgoing attorney mail.
- Scheduling mediations, depositions, meetings, etc., and calendaring of same.
- Preparation of materials for meetings, hearings, depositions and discovery production.
- Submit all invoices to accounting / billing.
- Order court reporters and reserve conference rooms for depositions and mediations.
- Preparing closed files for offsite storage.
- Any other related tasks that may be assigned.
Qualifications :
- Associate's Degree or higher education.
- At least 4 years' experience supporting attorneys in a busy (civil) litigation practice.
- Must be proficient in Microsoft Word and Microsoft Office Suite.
- Knowledge of NetDocuments (Document Management Software), and Elite helpful.
- Experience supporting several attorneys within a busy litigation practice.
- Ability to complete tasks assigned in a timely fashion.
- Ability to manage / meet deadlines.
- Must be flexible and detail oriented.
- Excellent interpersonal skills.
- Excellent verbal and written communication skills.
- Ability to work under pressure and handle conflicting priorities.
- Ability to maintain confidential information.
- Ability to work independently, or as part of a team, using initiative in all aspects of assignments.
