PositionSummary :
Theonsite Facilities Manager is responsible for providingadministrative operational and conference center support to thebuilding.
The FM must be capable ofisting in managing vendors and the facility in the absence of theDirector. The FM will also be responsible for the specific dutiesoutlined as well as other duties asigned.
PositionResponsibilities :
The FMwill primarily support the Facilities teams with the followingduties.
AdministrativeResponsibilities in support of OperationalTeam :
- Daytodaycommunication with the Facilities Team isimperative.
- Prepare weeklyFacilities operational calendar outlining events andschedules
- ist with coordination ofall contractors visiting company through direct communication withEngineering and companySecurity.
- Review and approveproperty invoices for Companyprocessing.
- Participate inFacilities Project meetings walkthroughs and update minutesaccordingly.
- Work directly withcontractors / vendors to obtain cost proposals for variousprojects.
- Prepare and update vendorcontracts and spreadsheets.
- Prepareand submit monthly investor report for Director of Facilitiesreview and approval.
- Performfacilities inspections and prepare necessaryreports
- Preparationof annual operating budget and reports for thefacility.
- Other duties as igned bycompany
AdministrativeResponsibilities in support of Events Production & Protocol(EPP) :
- ist withFacilities coordination for EPP day evening and weekend events.
- Serve as liaison between FacilitiesEPP Security and AdministrativeServices.
- Complete staffing plansfor each event based on cost grid Banquet Event Order (BEO) andlogistical memo.
- Communicate withengineering staff regarding any mechanical electrical or plumbingrequests from conference center participants including occupancycomfort issues.
- Track and billengineering and janitorial OT obtain Director of Facilitiesapproval and submit to EPP for finalprocessing.
- Attend weekly BEOmeetings and maintain BEO binder.
- Prepare EPP cost proposals andfinal reconciliations for events; includes invoicing and trackingof any damages.
- Prepare anddistribute Special Event Notifications (SEN) summarizing events toUSIP staff; completed on a casebycase basis.
PositionRequirements :
- Bachelorsdegree (BA / BS) from a fouryear college oruniversity
- Minimum of three (3)years experience in commercial property management or facilitiesmanagement (Cl A preferred)
- Stronginterpersonal and organizational ss as well as attention todetail
- Time management andprioritization ss
- Comprehensiveworking knowledge or Outlook Word Adobe andExcel
- Strong ability to multitaskand sense of expediency accuracy andcooperation
- Energetic ertive andpositivedemeanor
