Dispatcher & Inside Sales Representative

Dispatcher / Inside Sales :

Our family-owned company needs a dispatcher to coordinate our outbound deliveries. We are a regional distributor of building materials servicing 5 states with our own fleet.

This position will work with our fleet of nine tractor-trailer trucks in coordinating all deliveries, correctly routing trucks, and releasing orders to be pulled in the most efficient manner possible.

The position ensures on time shipments, communicates with customers on any service deviations or mistakes and problem solves on orders and shipments.

This position works hand -in-hand with operations, outside sales, company drivers, purchasing & management to coordinate trucking and lead times.

This position will also work in Inside Sales and Customer Service.

Dispatch Responsibilities :

  • Builds designated routes and make adjustments / updates where necessary.
  • Schedules picks-ups (scheduled, missed, extra pick-ups)
  • Proactively resolve issues as needed with poise and professionalism.
  • Builds strong relationships with drivers and customers.
  • Oversees the release to shipment of orders
  • Maintains daily receiving’s in conjunction with inventory levels
  • Communicates well with other employees to ensure everyone is on the same page at all times.
  • Is able to problem solve quickly & make judgement calls throughout the day as issues arise.
  • Ensures on time shipments, call backs to customers with service deviations & curing mistakes as fast & cheerfully as possible.
  • Constantly looks for ways to increase sales dollars, efficiency & fleet profitability.
  • Is actively involved in updates to various dispatch software.
  • Rectifies shipment discrepancies.
  • Ensures inventory & paperwork accuracy & relays changes to purchasing when needed.
  • Manages cancellations & order adjustments.
  • Understanding of product and how to partial ship and combine loads for daily transport.

Inside Sales Responsibilities :

  • Handle incoming calls, process orders and provide quotes in a timely and accurate manner
  • Assisting customers in developing solutions to meet their needs.
  • Determining customer’s needs and recommending appropriate products and solutions.
  • Establish a rapport with new customers and nurturing relationships with long term customers.
  • Troubleshoot and resolve customer inquiries
  • Provide support and maintain up to date knowledge on products and services
  • Generate additional business through cross-selling, up-selling, sales add-on’s and various promotional give campaigns
  • Provide support to and partner with Outside Sales Team and other internal departments as required to ensure 100% customer satisfaction
  • Quoting and order processing through our new web portal.

Requirements :

  • Ideal candidate will have 2 + years’ experience in dispatch.
  • Knowledge of DOT regulations a plus.
  • Knowledge of Building materials or construction a plus.
  • Candidate should have 2+ years of customer service or inside sales experience.
  • Excellent customer service, problem solving, communication and decision-making skills.
  • Excellent computer skills required with ability to learn new program
  • Maintains positive and encouraging working relations with all drivers, customers and other company staff.
  • Excellent ability to prioritize and multi-task with good time management and organization skills.
  • Must possess a high attention to detail.
  • Must possess excellent verbal and written communication skills, including a pleasant and professional phone demeanor.
  • Must be a team player, self-motivated and be able to collaborate effectively with other departments.
