Job Title : Service Coordinator

Location : Huntington, New York

Job Summary :

A Commercial HVAC / R company is seeking a highly organized and detail-oriented Service Coordinator to assist in managing our commercial HVAC and Refrigeration clients.

The Service Coordinator will play a key role in supporting the account managers by handling job scheduling, client communication, and invoicing.

This position requires excellent communication skills, the ability to juggle multiple tasks, high attention to detail, and a customer-centric attitude to ensure client satisfaction.

Key Responsibilities :

  • Job Coordination : Assist in scheduling and building jobs for commercial HVAC and refrigeration services, ensuring timely service delivery and proper resource allocation.
  • Account Support : Collaborate closely with account managers to provide administrative support, including job tracking and updating clients on service progress.
  • Client Communication : assist account managers with client inquiries, providing clear and timely updates on job status, service timelines, and any additional requirements.
  • Invoicing : Collaborate with account managers to prepare and manage client invoices, ensuring accuracy and timely submission to facilitate prompt payment.
  • Work Order Management : Collaborate closely with account managers to track work orders from start to finish, ensuring all tasks are completed efficiently and to client. specifications.
  • Documentation : Assist the service team with maintaining detailed records of all service jobs, including updates, communications, and reports.

Qualifications :

  • Previous experience in a customer service or administrative role, preferably in the HVAC or refrigeration industry.
  • Strong organizational skills and the ability to handle multiple tasks simultaneously.
  • Excellent verbal and written communication skills.
  • Experience with invoicing and basic financial management is a plus.
  • Proficiency in Google Suite (Docs, Sheets, Slides) and experience with CRM or contract management software.
  • High levels of responsibility, integrity, and accountability in managing tasks and client relations.
  • Ability to work independently and collaboratively in a fast-paced environment.

Job Type : Full-time

Pay : $20 - $24 per hour, depending on experience
