These duties are to be performed in a highly confidential manner, following the mission, values, and behaviors of Insight Hospital and Medical Center.

DESCRIPTION :

Duties and Responsibilities :
- Enter work orders into AIMS System and assign duties to engineering staff.
- Monitors productivity of Facilities & Engineering department staff.
- Run AIMS work order system reports.
- Assist Director with annual performance evaluation process, including coordination and follow-up of individual performance evaluations.
- Develop internal and external communications to support the department.
- Organize Engineering documentation and electronic files.
- Maintain Engineering departmental policy manuals, regulatory EOC documentation, contracts, warranty information and architectural drawings in an organized, structured manner.
- Assist the Director in organizing, implementing and maintain the day-to-day functions of the Engineering department and related activities including assistance with scheduling and shift coverage coordination.
- Coordinate with outside transportation company (SDI Security) regarding new hires and payroll.
- Prepare and submit SDI payroll on a weekly basis.
- Monitor dispatcher and drivers.
- Perform administrative and office support activities for multiple engineers (including fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets, signs and filing).
- Enter purchase order requisitions and services as necessary.
- Schedule and maintain Environment of Care (EOC) rounding calendar.
- Prepare minutes for EOC committee meeting.
- Maintain office supplies.
- Maintain schedule for engineering conference room.
JOB SPECIFICATIONS :
Required Knowledge, Skills and Abilities :
Knowledge :
High School Diploma or GED required. Six (6) years of progressively responsible administrative support experience, preferably in healthcare environment;
or equivalent combination of education and experience. Associate’s Degree or college coursework preferred.
Skills :
- Ability to operate with moderate degree of independence.
- Interact effectively with patients & staff.
- Set priorities with minimal direction and manage confidential / sensitive materials.
- Strong technical, analytical, organizational, interpersonal, and project management skills.
- Exceptional written and verbal communication skills required. Excellent mathematical skills required.
- Demonstrated work ethic, capable of disciplined self-motivation and commitment to the highest standards of professional integrity, maturity, and judgment.
- Highly organized with a strong attention to detail.
- Communicate honestly and professionally with others. Listen effectively and express ideas clearly and persuasively. Demonstrate excellence in professionalism and customer service by projecting a helpful and positive image to other departments, external vendors, physicians, customers, etc.
Abilities :
Requires advanced computer skills related to Microsoft Word, Microsoft Excel and Microsoft PowerPoint. Ability to multitask and work effectively under pressure to meet deadlines in a fast-paced environment.
Ability to make decisions of moderate importance in the absence of the Director.
