About the Role :
The Executive Assistant to the President / Chief Executive Officerwill be responsible for providing high-level project and administrative support primarily to the President / Chief Executive Officer.
This role requires a seasoned professional with at least 8 years of experience in executive support, with a proven track record of liaising with Board of Directors.
The ideal candidate will posses exceptional organizational skills, discretion, and the ability to manage complex tasks with efficiency and accuracy.
What You'll be Doing :
Responsibilities of the Executive Assistant to the Executive Director & President include but are not limited to :
- Provide comprehensive administrative and project support to the CEO, including managing calendars, scheduling meetings, and coordinating complex travel arrangements / reimbursements.
- Prioritize and manage multiple tasks with exceptional detail and manage projects with minimal supervision.
- Act as the primary point of contact between the CEO and the Board of Directors. Schedule and coordinate board meetings, prepare and distribute agendas, minutes, and other relevant documents.
- Ensure effective communication and follow-up on board-related matters.
- Handle sensitive information with the highest level of confidentiality and discretion.
- Manage and safeguard executive communications, documents, and data.
- Organize and facilitate executive meetings, including preparation of materials, coordinating logistics, and ensuring all necessary resources are available.
- Follow up on action items and ensure timely completion.
- Assist in the planning, execution, and monitoring of special projects and initiatives as directed by the executive.
- Provide status updates and support project-related activities.
- Serve as a liaison between the executive and internal / external stakeholders.
- Draft and review correspondence, reports, and presentations.
- Maintain professional and effective communication channels.
- Manage executive office operations, including handling correspondence, filing, and maintaining executive's documentation.
Minimum Requirements and Competencies :
- Bachelor's degree or equivalent experience and at least 8 years of experience. providing direct senior-level project and administrative support.
- Excellent oral and written communication skills.
- Demonstrated organizational skills, including experience in project management.
- Exceptional attention to detail.
- Professionalism and diplomatic skills with the ability to interact with high-level individuals internally and externally.
- Ability to function well in a high-paced and at times stressful environment.
- Consistent exercise of sound judgment; able to anticipate needs and take initiative to get things done.
- Flexible and adaptable in various situations and when interacting with many different personalities.
- Proficient in MS Office, in particular, advanced MS Outlook scheduling.
- Ability to maintain confidentiality and discretion with sensitive information.
- Ability to work varying hours, and travel up to 20% of time, as needed.
