Our client, is looking for a Part-Time Personal Assistant located in Boston, MA. This is a professional and dynamic client, and they are looking for individuals who have Personal Assistant work experience, as well as someone who is fluid in QuickBooks and has exceptional organizational skills.
In this position, you will be responsible for exhibiting excellent organizational skills, doing extensive filing and organizing, planning travel and vacation plans, and collaborating with the client.
This role compensates $30-35 an hour depending on experience with 20-25 hours a week!
Personal Assistant :
Mail related functions : sorting and distributing the mail. Reviewing and paying all bills on a timely basis. Proficient in QuickBooks.
Will need to co-ordinate with the New York Office on bill paying matters.
- Reviewing contribution requests : providing background data presentation. Ensuring regular, "annual contributions" are budgeted for and are paid on a timely basis.
- Reviewing subscriptions : renewals and elimination of duplications, etc.
- Managing and maintaining the phone system, answering the phones, retrieving and passing on phone messages at least 4 times a day, even when the client is out of the country, in the New York Office, or attending meetings.
- Rearranging appointments, travel arrangements as necessary : resolving conflicts and re-booking as necessary.
- Organization, inventory control and reordering of all office supplies.
- Planning and set up for functions and meetings.
- Filing and organizing of important papers and documents, maintaining the files and the shredded documents log as necessary .
- Planning and follow up for all travel and vacation plans, including finding the best value for accommodations / car services and air travel.
Re-confirming confirmation information and early / late check in or check out as needed.
Placing orders for supplies as needed for the Boston and East Hampton homes.
Special Events & Parties
- Working with Housekeeper to make sure that house is clean to proper standards. Working with Housekeeper to pull any necessary family silver and silver serving pieces
- Working with the florist for timely arrangements and decorations when needed
- Coordinating set up and clean up after events
- Storage and maintenance of all seasonal decorations and display items. Items should be stored to preserve and extend their useful life.
All boxes should be well marked and well organized. WE should have an inventory of items. Items that show excessive aging should be culled after each season and we should have a list of items that need replacing.
This is not an opportunity to change the entire assortment each year, but just to get rid of items that are no longer usable.
