POSITION SUMMARY : We have an exciting opportunity to join our team as a Emp Health Svc Assistant. In this role, the successful candidate Coordinate and evaluate day-to-day OHS office management and operations.

Provide front desk and back office duties as required. Provide administrative / secretarial support to the OHS Medical Director and the OHS clinical staff.

Perform diversified functions enabling efficient OHS office operations.

JOB RESPONSIBILITIES :

• Performs other related duties as assigned or requested.
• Answers telephones in the department and responds to calls and visits from employees / personnel and provides information according to established policies;

determines the urgency of the situation and informs the Medical Director and / or the OHS clinical staff when the situation warrants their attention

• Schedules appropriate appointments for new / rehired personnel, in conjunction with HR and / or the referring department according to established policies and procedures
• Works with OHS personnel to assure efficient employee / staff scheduling and organizing office flow.
• Interacts with New / Established employees in a courteous and professional manner.
• Interacts with HR personnel, department heads, supervisors and other departmental personnel, as necessary, to provide requested information regarding OHS policies, in a professional and courteous manner.
• Maintains employee medical / OHS records, files and computer database information filing of OHS charts and materials.
• Deals discretely with confidential employee information contained in charts and other documents.
• Data input of OHS services provided into employee records (Annual Health Reassessments, Flu Vaccination status, Fit Testing results, etc.)
• Oversees office supplies and orders appropriate materials / supplies as needed .
• Processes invoices and submits invoices for review and payment.
• Maintains OHS staff schedules, in conjunction with the OHS Medical Director.
• Generates OHS related reports as requested / directed by the OHS Medical Director.
• Provides guidance and assigns duties, in coordination with the OHS Medical Director and / or OHS clinical staff, to volunteers and / or agency personnel assigned to the department.
• Attends staff meetings as required.

MINIMUM QUALIFICATIONS : To qualify you must have a Minimum education required is High School Diploma. Must have previous health care experience preferred.

Should be able to multitask efficiently and prioritize accordingly. Must have working knowledge of Microsoft Office / generalized computer skills.

Excellent oral communication / organization skills are essential.
