Were hiring an Executive Assistant in the Dallas / Fort Worth area. This role provides senior level support to the Executive Vice President (EVP) of the SouthWest region.

This is an office-based position that offers a hybrid schedule. The office is located in Irving, TX.

Responsibilities :

Some of the responsibilities include :

  • Administrative support to Executive Vice President of the SouthWest region which includes a six-state territory.
  • Maintain calendars, schedules virtual and in-person meetings, and makes logistical arrangements necessary for internal and external meetings, including virtual meetings.
  • Work closely with Sr. Director Strategic Relationships to support region board, this includes but is not limited to maintaining records of contact information, scheduling board and committee meetings, and regularly communicating with high-level volunteers.
  • Work independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects as assigned.
  • Schedule and coordinate complex activities such as meetings, travel, conferences, and all staff activities for EVP, region board members, and other staff members, as assigned.
  • Weekly travel within the Dallas area to attend meetings, events, run errands, etc.
  • Handle highly confidential information.
  • Maintain an orderly filing system for correspondence and other documents.
  • Maintain accurate information relevant to internal meetings, board meetings and events.

Qualifications :

  • 2 5 years of experience providing administrative support to multiple managers with at least 1 year supporting senior / executive level management.
  • Experience preparing budget information, processing invoices, calculating, and processing expenses.
  • Extremely strong interpersonal skills, particularly regarding the judgment, discretion, confidentiality, patience, and understanding necessary for dealing effectively with a diverse body of volunteers, donors, and professional colleagues;

independence; and a strong team orientation.

  • Ability to conceptualize, reason through problems, make effective decisions and develop alternative solutions with little to no direct supervision.
  • Organization skills, detail oriented and experience handling sensitive and confidential information.
  • Skilled in effective verbal and written communications including conversing by telephone, business writing with clear and concise narrative reports, evaluations, and other narrative pieces.

Ability to lift and / or move large objects (such as boxes) with the expectation that heavier items would be broken down into smaller components or requesting assistance may be required before lifting and / or moving.

  • Knowledge and skills with Zoom webinar and meetings.
  • Intermediate proficiency with Microsoft Office applications : Excel, Outlook, PowerPoint, Word, etc.
