Our client is a newly established pediatric healthcare organization in Boston, MA. and a supportive environment for clinicians and staff.

They are currently seeking an Executive Assistant (EA) with a patient and family-centric mindset to support the CEO.

Salary / Hourly Rate :

$85,000 $95,000

Position Overview :

The Executive Assistant will ensure the efficient operation of the executive office, providing high-level administrative support, managing schedules, coordinating meetings, and acting as a liaison between leadership and stakeholders.

The ideal Executive Assistant candidate will be highly organized, proactive, and possess excellent communication and interpersonal skills.

Responsibilities of the Executive Assistant :

  • Manage the CEO’s calendar, schedule appointments, and coordinate meetings
  • Prepare and organize meeting agendas, materials, and minutes
  • Handle incoming correspondence, prioritize responses, and draft, review, and edit reports, presentations, and other documents
  • Maintain confidential files and records
  • Act as the primary administrative contact between the CEO and internal / external stakeholders
  • Communication on behalf of the CEO, including drafting and sending emails and letters
  • Build and maintain positive relationships with board members, executives, staff, and external partners
  • Handle sensitive information with discretion and confidentiality
  • Organize and coordinate executive meetings, board meetings, and other key events
  • Arrange travel itineraries, accommodations, and transportation for executives
  • Assist in planning and executing corporate events and functions
  • Assist in managing special projects and initiatives
  • Track project progress and ensure timely completion of tasks
  • Conduct research and compile data to support the business in decision-making processes
  • Oversee the maintenance of the office, ensuring a professional and organized environment
  • Order office supplies and manage inventory
  • Organize, manage, and submit expense reports and reimbursements for the leadership team
  • Coordinate with IT and other departments to address office needs and technical issues
  • Perform other duties as assigned

Qualifications for the Executive Assistant :

  • Minimum of 4 years of experience as an executive assistant to C-Suite executive(s), preferably in the healthcare industry
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), along with travel, expense, and invoice management software systems
  • Knowledge of the healthcare industry, especially value-based care and start-up organizations, is a plus

Education Requirements :

Bachelor’s degree or equivalent experience is preferred
