We are offering an exciting opportunity for an Executive Assistant in the Manufacturing industry, located in Richardson, Texas.
This role involves providing administrative support to the C-suite team, handling a high volume of calendars, and organizing both in-person and virtual events.
This position allows you to utilize and further develop your skills in areas such as Concur, Expense Reports, Book Travel Arrangements, Coordinate Meetings, Calendar Management, Microsoft PowerPoint, and Microsoft Word.
Responsibilities :
- Provide administrative support to the C-suite team
- Manage high-volume calendars, anticipate conflicts, and coordinate rescheduling.
- Assist with tasks related to Board and Executive meetings such as scheduling, logistics, catering, and materials creation / distribution.
- Organize and coordinate in-person and virtual events such as team-building activities, staff meetings, and business engagements.
- Make complex international and domestic travel arrangements for multiple people or groups using Concur.
- Maintain executive office environment, including supply stock, conference rooms, storage areas, and break areas.
- Complete and reconcile expense reports for multiple people or groups via Concur.
- Create, review, and refine PowerPoint presentations, Word Documents, Excel worksheets, and SharePoint sites.
- Manage digital and physical records, files, and filing systems.
- Perform other administrative duties as assigned.
- 5+ years experience as an Executive Assistant required
- A minimum of a high school diploma or equivalent is required; a Bachelor's degree is preferred.
- Must have proficiency in Microsoft PowerPoint, Microsoft Word and Microsoft Excel
- Experience with Concur is required.
- Proficiency in preparing and managing expense reports is necessary.
- Ability to book travel arrangements effectively and efficiently.
- Must have experience in coordinating and scheduling meetings.
- Proven skills in calendar management are required.
- Prior experience working for a publicly traded company is required
- Excellent written and verbal communication skills are necessary.
- Must demonstrate a high level of professionalism and confidentiality.
- Strong organizational skills and attention to detail are required.
- Ability to multitask and prioritize efficiently.
- Must be able to work independently as well as part of a team.
