SUMMARY

Performs a variety of routine and non-routine clerical / accounting functions in accordance with standard procedures in one or more of the following areas;

accounts payable, payroll, general accounting, or related financial area. Reconciles accounts, posts information and balances to the general or subsidiary ledgers, processes payments and compiles data for monthly closing, annual reports, and audits.

Contacts vendors, suppliers, other departments or other subsidiaries to resolve issues.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following but not limited to :

  • Voucher A / P documents on a timely basis
  • Review monthly vendor and supplier statements and reconcile to company records
  • Generate, distribute A / P checks on a weekly basis, or as needed
  • Print check register
  • Review and process employee expense reports
  • Generate & run purchasing card payment
  • Open and distribute Finance department mail
  • Assist in monitoring and answering the A / P email account
  • Research and resolve A / P issues daily
  • Assist with coordinating with other subsidiaries in completing month-end intercompany and account reconciliations and payments
  • Audit / adjust unvouchered receipts, monitor report on a regular basis
  • Monitor Accounts Payable Aging report on a regular basis
  • Reconcile employee advance account
  • File A / P documents
  • Conduct petty cash activities
  • Complete audit and month-end requirements & requests
  • Open, close Oracle A / P module on a monthly basis
  • Run month end A / P reports
  • Complete vendor change forms or email the request to the Accounting Supervisor to enter in Oracle
  • Audit support as needed
  • Serve as the payroll primary backup to General Accountant who currently handles the company's payroll processing
  • Other payroll-related duties include preparation of payroll journal entries and preparation of payroll account reconciliations
  • Assist when needed with journal entry preparation and account reconciliations in various areas of the Finance department
  • Other duties as assigned

OTHER SKILLS AND ABILITIES

  • Strong knowledge of accounts payable processing procedures required
  • Strong knowledge of payroll processing and other payroll-related duties required
  • Knowledge of Microsoft Word and Microsoft Excel (intermediate level) required
  • Working knowledge of business systems applications such as ERP and financial applications a plus
  • Knowledge of Oracle a plus
  • Knowledge of UKG or other payroll systems (i.e. ADP, Paychex, Paylocity, etc) required

No supervisory responsibilities in this position

QUALIFICATIONS

EDUCATION and / or EXPERIENCE

High school diploma or general education degree (GED), and three years related experience.

LANGUAGE SKILLS

Ability to read and comprehend technical instructions, short correspondence, and memos. Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.

Strong interpersonal and communications skills and ability to work effectively with a wide range of constituencies in a diverse community.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using wholesale numbers, common fractions, and decimals.

Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Ability to compile, analyzes, interpret, and present complex annual financial reports, statements, and or projections
