In this position the receptionist will welcome and direct visitors, donors and volunteers; maintain donation records and thank you letters, security and telecommunication system;
keeps reception area clean; assist clients in their needs, handle mail and filing for all administrative staff, answer phone calls, deliver messages and contribute to team effort.
Reports directly to the Executive Director.QualificationsHigh School DiplomaExperience working with service agencies preferredBilingual (Fluent in Spanish and English both writing and speaking)Knowledge of using all office machines and MS office softwareExcellent organizational skills and ability to multitaskTrustworthy and self-directedAbove average ability to maintain cordial, supportive, professional relationships with staff, clients and other contactsAble to pass a criminal background checkReception OperationsKeeps files and work area organized.

Informs clients, incoming visitors, superiors and peers based on their information needs.Articulates ideas clearly and concisely in a variety of settings, adjusting the message to match the audience.
Utilizes MS Word, Excel and PowerPoint to produce reports, letters and other documents.Delivers superior customer service.
Assures security of clients at all times.Creates and maintains files, updates documentation as required.Handles escalations and time critical issues.
Meets goals despite unexpected setbacks, obstacles or time constraints.Listens attentively and actively.Provides assistance for clients upon request.
Supervises volunteers and arranges schedules for them.Provides clients with available supplies when needed.Reviews emergency equipment.
Maintains regular communication with staff.Assists Executive Director and Service Coordinator in scheduling appointments and other tasks.
Generates monthly reports for grants and In-Kind donations.Develops in-depth knowledge of the agency, services and staff by informing clients, visitors, volunteers and peers based on their information needs.
Opens sorts and distributes incoming mail and prepares outgoing mail.Greets and screens visitors in order to maintain security of the building.
