Overview

The Administrative Assistant to the Director of Clinical Services performs a wide variety of confidential and advanced administrative and technical duties for the Clinical Services department.

Oversees logistics and progress on multiple dept. and inter-departmental projects. Serves as key communication conduit for Senior Director of Clinical Services (Sr.

DCS) within agency and for outside communication. Supports the Senior Director of Clinical Services, Director of Clinical Services (DCS) and all Clinical Managers in various projects, provision of data, coordinates promotional events and other duties as assigned.

Work Schedule : Monday through Friday, 8 : 00 a.m.-5 : 00 p.m., may vary as needed

Salary : $27 - $34 hourly. Subject to experience and qualifications.

Work Location : Escondido, CA

Responsibilities

  • Oversees the logistics and coordination of operations for the Clinical Services department and clinical team managers.
  • Performs advanced administrative and technical duties in support of the Sr. DCS, DCS and all Clinical Managers.
  • Coordinates meetings (in-person and virtual) and conference calls both internally and externally.
  • Facilitates the logistics for the Sr. DCS for attending and / or participating at conferences.
  • Creates, transcribes, and distributes meeting agendas and minutes.
  • Maintains a calendar of activities, meetings and various events for the department, coordinates activities with other departments.
  • Manages daily calendar of Sr. DCS including all urgent one on one meetings and coordinates outside agency meetings.
  • Prepares invoices and expense reports for processing for Sr. DCS.
  • Assists in a variety of operations; proofreading for accuracy, completeness and quality of materials and other assignments requested by Sr. DCS.
  • Implement systematic approach to operational activity to assure uniformity of practice and compliance, data management and tracking, statistical reporting, proofing work for accuracy, completeness, and quality of presentation.
  • Responsible for weekly scheduling of ongoing one on one meetings with all Sr. DCS’s direct reports. Manages, tracks and trends all organizational complaints while collaborating with Quality and Compliance Director, COO, DCS and Business services.
  • Delivers promotional items or clinical supplies to offsite hospice team offices.
  • Administrative responsibilities include managing department mail, preparing management expense reports, booking travel, arranging appointments, meetings, scheduling meetings, taking department phone calls and meeting with external customers as needed.
  • Manages all credentialing with outside facilities for all field staff ensuring applications are completed correctly and timely.
  • Completes other administrative duties as assigned.

Qualifications

  • Some college desirable; preferred bachelor’s degree in health management or equivalent to 4 years’ experience in a healthcare related field.
  • Advanced computer literacy and advanced use of Microsoft Office Suite with the ability to learn and develop new software skills.
  • High level of verbal and written professional communication skills.
  • Exemplary planning and time management skills.
  • Excellent interpersonal skills; requires professionalism and experience to interface with all levels of management and personnel.
  • Attention to detail, excellent organization skills, and discretion with confidential information.
  • Current California driver’s license and proof of insurance preferred.
