Job Summary

- Responsible for helping to support front-end operations of physician clinics and / or procedural units.This includes scheduling new patient visits;
- patient follow-up visits; obtaining prior insurance authorizations; scheduling diagnostic tests; scheduling surgical procedures;
and maintaining the medical record.

- Schedules patients for office visits accurately
- Verifies patient demographic information and insurance information
- Communicates scheduling conflicts to the office manager
- Checks patients in quickly and accurately using Meditech so that MA / RN / APP / MD is aware of patient’s arrival
- Schedules radiology, Surgery Center procedures, and specialty / subspecialty appointments including consults, pre & post op visits & and associated outpatient procedures
- Obtains relevant medical record information and compiles medical record for patient, obtains imaging studies within / outside the FH system prior to new or current patient appointment, obtains other pathology / labs as necessary for new or current patients
- Obtains referrals and insurance authorizations as required.
- Triages patient phone calls for physician, APP, Nurse Navigator, and practice manager.
- Maintains physician and APP schedule.
- Tracks patients who fail to keep an appointment. Notifies physician of same.
- Maintains positive working relationships with other practices’ referral personnel.
- Collaborates with nursing team to provide patients with a seamless experience related to education, scheduling procedures, and navigating the medical system.
- Appropriately directs calls, takes accurate messages or responds to calls by utilizing medical knowledge of policies, procedures and practices.
- Ensures that patient related issues are tasked to the appropriate providers using Meditech’s EHR
- Is courteous and polite when speaking to customers on the phone. Ensures phone messages are returned in a timely manner and all issues followed up on a daily basis.
- Receives department’s mail, reviews content, prioritizes, analyzes for direction, forwards or redirects, and composes response when appropriate.
- Assists patient with simple billing questions or directs to the billing office if necessary.
- Scans patient forms / orders in to the EHR
- Faxes orders to scheduling center
- Electronically retrieves and accurately files faxes / reports into patient’s EHR or physician’s PAQ in Meditech
- Mail out new patient packets
- Order office supplies and business cards
- Copy and stock office materials
- May assist in rooming patients for provider
- Accepts other duties as assigned by director or physician.
Required Knowledge, Skills and Abilities :
- Knowledge of scheduling required.
- Excellent written and verbal communication skills required
- Excellent customer service skills required.
- Must demonstrate excellent computer skills including Microsoft Office.Experience with and Meditech software a plus.
- Must be organized and able to multitask with attention to detail.
Minimum Education, Training, and Experience Required :
High School Diploma or equivalent preferred. Preferred two-year medical secretary, health information technology program or minimum of one year medical office experience required.

Physical Demands :
Sedentary - Light Work - Lifting up to 15 pounds on an infrequent basis (less than one lift every three minutes).While work is mostly done sitting, a certain amount of walking or standing is often necessary.

Reporting Relationship :
Reports to Practice Manager or Office Supervisor. Takes direction from Administrative Director and Providers of the medical team.

Pay is based on experience, skills and education. If position is part-time, salary will be pro-rated based on scheduled hours.
The pay range may also vary within the stated range based on specialty if applicable. Non-Exempt positions may have shift differential and / or Overtime paid, if applicable.
Hourly Range : $17.29 - $25.60
