Job Summary : The Administrative Assistant supports a wide variety of administrative duties to physicians, APP physician extenders, and director / VP level leadership.
Qualifications :
- High School Diploma or equivalent minimum education requirement
- 3+ years of administrative experience, preferably supporting medical professionals
- Must be knowledgeable in all MS Office products
Essential Duties :
- Act as the administrative point of contact between assigned caseload and division chiefs, BOC and BOD physicians, RO leadership, and internal and external stakeholders and customers.
- Receive calls, take messages, route correspondence via paper, email, or EMR messaging.
- Respond to and address all physician requests and queries appropriately and timely.
- Perform scheduling tasks as needed.
- Make travel arrangements.
- Take and distribute meeting minutes as requested.
- Produce reports, presentations, slideshows and briefs as needed.
- Support credentialing department with documentation and other needs to ensure timely appointment and reappointment.
- Track and monitor CEUs and submit documentation as needed.
- Support legal needs, such as depositions, IMEs, letters of medical necessity, High Level Second Opinions.
- Create and distribute hospital system on-call schedules and keep track of call nights.
- Support board recertification process and stay current with updated requirements, documentation needs, etc.
- Maintain accurate files of important physician and provider documents, and handle confidential information with care.
- Interface professionally with executive assistants to coordinate caseload needs as well as fellow senior and administrative assistants across the organization.
- Exemplify the desired culture and philosophies of RO in all interactions within the office, external partners, and members of their caseload.
