Job Description :
The receptionist serves both internal and external customers, facilitating communication with clients and vendors. Responsibilities include welcoming visitors, monitoring access, and maintaining the front office, which encompasses inventory, mail, shipping, faxes, calendars, and other clerical tasks.
Timeliness and effectiveness in these duties are essential. Key success factors include building relationships, effective communication, and teamwork.
Responsibilities :
Phone Calls : Evaluate callers’ purposes, forward calls and messages, and provide appropriate service and information.
Visitors : Prepare for visitors by notifying security, welcoming them, and liaising with relevant personnel. Monitor access and track badges as needed.
Correspondence : Manage mail, faxes, and packages promptly, including USPS, FedEx, and courier services, in this time-sensitive real estate environment.
Inventory Maintenance : The office manager oversees inventory standards and orders for kitchens and break rooms. The receptionist may assist with inventory tasks and maintain areas on the 18th floor.
Physical Setting : Keep the lobby, conference room, kitchen, and copy room clean and organized. Duties include stocking the refrigerator, maintaining cleanliness, organizing supplies, preparing annual reports, and liaising with property management when necessary.
Contact and Calendar : Maintain company contact lists and update calendars associated with the front desk.
Required Skills and Experience :
- High school diploma.
- 1-2 years of relevant corporate experience preferred.
- Excellent written and oral communication skills with attention to detail.
- Proficient in Microsoft Office Suite.
- Proactive, with sound judgment and initiative.
