Dakota State University is seeking a highly skilled and motivated Assistant Director of Facilities Operations to join our Facilities Management team.
This role ensures that university facilities and grounds are maintained at the highest standards of cleanliness, safety, and functionality.
The Assistant Director works closely with the Director of Facilities Management to develop and implement strategic maintenance plans, manage budgets, oversee inventory, and ensure compliance with all relevant regulations and policies.

Responsibilities :
- Oversee the daily operations of custodial services and grounds maintenance to ensure all campus facilities and outdoor spaces are clean, safe, and well-maintained.
- Supervise Custodial Supervisors and the Grounds Supervisor, providing guidance, support, and performance evaluations.
- Ensure that all facilities and grounds operations comply with university policies, safety regulations, and environmental standards.
- Identify training and development needs for staff and coordinate professional development opportunities.
- Serve as a liaison between the Facilities Management department and other university departments, students, and external vendors.
- Actively manage the Facilities Management Work Order System to ensure timely and efficient processing of maintenance, repair, and grounds keeping requests.
- Through the work order system, track and manage inventory related to grounds and custodial operations.
- Evaluate and recommend the purchase of supplies, equipment, and services to support operational needs.
- Oversee the purchasing and invoicing process for work orders, collaborating with staff to ensure that work orders are billed out correctly.
- Implement and monitor quality control programs to ensure that custodial and grounds services meet or exceed university standards.
- Collaborate with the Director of Facilities Management to develop and implement long-term strategies for facilities and grounds improvement.
- Develop and maintain emergency response plans related to facilities and grounds operations, including procedures for handling natural disasters, power outages, and other emergencies.
- Ensure that all staff are trained in emergency response protocols and that appropriate resources are available.

- Work Order Systems : Proficiency in using and managing work order management systems to track, prioritize, and resolve facility-related issues efficiently.
- Regulatory Compliance : Knowledge of safety regulations, building codes, and environmental standards relevant to facilities management.
- Budget Management : Understanding of budgetary processes and financial management related to facilities operations.
- Leadership : Ability to lead and supervise custodial and grounds teams effectively, fostering a productive and motivated work environment.
- Project Management : Skills in planning, organizing, and overseeing projects related to facilities maintenance and improvement.
- Communication : Strong verbal and written communication skills to interact with staff, faculty, students, and external contractors or vendors.
- Problem-Solving : Aptitude for identifying issues, analyzing information, and implementing effective solutions in a timely manner.
- Team Collaboration : Ability to collaborate effectively with diverse teams including custodial, grounds, maintenance, and administrative personnel.
