Our client in Nashville, TN is seeking an AP Manager to join their team. This is a direct-hire opportunity with a hybrid schedule.
The Accounts Payable Manager is responsible for overseeing the accounts payable process, ensuring accurate and timely processing of invoices and payments.
This role involves managing a team of accounts payable specialists, implementing efficient processes, and maintaining strong vendor relationships.
The Manager, Accounts Payable ensures compliance with accounting standards, prepares financial reports, and works to improve accounts payable operations.
Essential Job functions :
- Supervise and lead the accounts payable team, providing guidance and support.
- Develop and implement efficient accounts payable processes.
- Develop guidelines for proper handling and coding of invoices to maintain the integrity of general ledger accounts.
- Monitor accounts payable aging reports and proactively manage payment schedules to maximize discounts and avoid late payments / penalties.
- Manage vendor relationships; resolve payment discrepancies and disputes with vendors in a timely and professional manner.
- Ensure all invoices are properly reviewed, approved, coded, and processed accurately and timely with all necessary backup.
- Verify payments and promptly create weekly payment batches to send to the Treasury team once internal approvals are attained.
- Effectively manage the recurring invoice process from invoice receipt to timely payment.
- Oversee the timely reconciliation of the accounts payable sub-ledger to the general ledger ensuring accuracy and completeness of financial records, investigating and promptly resolving any variances or discrepancies.
- Maintain vendor records ensuring all relevant and required information is obtained prior to issuance of payments and any updates are handled in a timely manner.
- Prepare and file all necessary tax documents related to accounts payable.
- Ensure proper maintenance, filing, and storage of records occurs on a timely basis.
- Assist in month-end and year-end closing processes and audits.
- Ensure compliance with company policies and procedures, accounting standards, contractual obligations as well as relevant laws and regulations.
- Identify opportunities for process improvements and implement best practices to optimize workflow, improve efficiency, and reduce manual tasks.
- Assist with special projects as needed.
Required experience :
At least 7 years of experience in Accounts Payable, with 2-3 years in a supervisory or managerial capacity, preferably within the music industry or entertainment sector.
Required skills :
- Proficiency in managing the entire accounts payable process, including invoice receipt and verification, invoice approval, data entry, payment processing, vendor management, reconciliation, reporting, compliance and audit.
- Strong understanding of accounting principles and practices.
- Strong computer skills and highly proficient with Microsoft Excel (intermediate level).
- Experience with ERP systems with a preference towards SAP.
- Strong verbal and written communication skills.
- Excellent customer service skills to maintain positive vendor relationships, facilitate smooth payment processes, and diplomatic resolution of issues.
- Proven experience in leading and motivating a team, setting performance goals, and managing workloads.
- Analytical mindset with strong problem-solving and decision-making abilities.
- Detail-oriented with a commitment to accuracy and integrity in financial reporting.
- Ability to thrive in a fast-paced, deadline-driven environment and manage multiple priorities effectively.
Education :
Bachelor’s Degree in Accounting, Finance, or related field preferred.
Supervisory Responsibilities :
This role will oversee the Accounts Payable team in their day-to-day responsibilities and overall departmental goals, including but not limited to :
- Interviewing prospective employees and providing feedback based on skills, knowledge, and abilities for the job.
- New hire and ongoing training.
- Delegating tasks and providing assistance as needed.
- Preparing performance evaluations.
